About the Role
We are seeking a high-performing Executive Assistant to support senior leadership within a fast-paced, global financial services environment.
This role requires someone who excels at managing complex schedules, coordinating international travel, and handling high-level stakeholder communication.
A key component of this role includes supporting international roadshows, making prior experience in financial services environments highly valuable.
Key Responsibilities
- Manage complex and dynamic calendars across multiple time zones
- Financial services EA experience:
Ideally from investment firms, banking, private equity, accounting, etc.
Not required that it’s a direct competitor, but must be in financial services space.
Roadshow experience (strongly preferred) - Coordinate extensive international travel (flights, itineraries, logistics)
- Prepare and process expense reports
- Support planning and coordination of international roadshows
- Act as a liaison between executives, clients, and internal teams
- Schedule and coordinate meetings, conferences, and executive interactions
- Prepare itineraries, materials, and documentation
- Partner with internal teams (events, communications, operations, etc.)
- Provide backup support to other Executive Assistants when needed
Ideal Candidate Profile
- 8+ years of Executive Assistant experience
- Experience within financial services (banking, private equity, asset management, etc.)
- Strong background in calendar management and international travel coordination
- Experience supporting multiple senior stakeholders
- Ability to thrive in a fast-paced, high-pressure environment
- Excellent communication, organizational, and multitasking skills
Must-Have Skills
- Outlook (calendar management):
- Non negotiable; heavy use for complex scheduling
- Strong organizational skills:
- Handling multiple execs plus a large stakeholder group
- Managing back to back and shifting priorities
- Time management & follow through:
- Making sure executives do not overrun meetings
- Proactive about keeping them moving and staying on schedule
- Professional communication:
- Direct, clear, concise (both written and verbal)
- Comfortable with fast, to the point communication style
Nice-to-Have Skills
- Concur (or similar travel/expense tools)
- Helpful for faster ramp up on travel booking
- Prior executive assistant experience in corporate / professional environments
- Any financial services background is a plus but not required
