Publicis Groupe is seeking a highly skilled and proactive Executive Assistant to provide dedicated support to a senior C-suite executive. This is a high visibility, high-impact role that sits at the center of executive operations – requiring exceptional judgment, discretion, and the ability to anticipate needs in a fast-moving, global organization.

The Executive Assistant will serve as a trusted partner and operational anchor to a senior leader, managing complex schedules, communications, events, travel, and priorities with precision and poise. This individual will also play a key coordination role across internal teams, senior stakeholders, and external partners, acting as a critical extension of executive leadership.

Responsibilities

  • Manage a complex, high-volume calendar with competing priorities, coordinating across internal and external stakeholders globally
  • Arrange and oversee all travel logistics, including international itineraries, ground transportation, and accommodations (domestic & international)
  • Prepare briefing materials, agendas, and pre-read documents for meetings, ensuring the executive is informed and equipped for every engagement
  • Handle sensitive correspondence, communications, and follow-up on behalf of the executive with professionalism and discretion
  • Track action items, decisions, and deliverables arising from meetings, ensuring timely follow-through across stakeholders
  • Serve as the primary point of contact between the executive office and internal departments, including Finance, HR, Communications, Legal, and external agency partners
  • Manage expense reporting, budget reconciliation, time entry requirements and approval workflows with accuracy and timeliness
  • Coordinate logistics for executive-level meetings, offsites, and client & internal events, partnering with the PM Events team as needed
  • Maintain organized systems for information management and documentation
  • Build and maintain strong relationships with executive assistants and chiefs of staff across Publicis Groupe and client organizations
  • Manage inbound requests with professional judgment, triaging and prioritizing based on business urgency and relevance
  • Represent the executive office with the highest level of professionalism in all written and verbal communications
  • Support the Chief of Staff in the preparation of presentations, reports, and materials for board-level, client, and industry engagements
  • Assist in the management of special projects and pivotal initiatives as directed, tracking achievements and ensuring accountability (i.e., prospecting, corporate strategy, etc.)
  • Anticipate needs and proactively address issues before they advance, demonstrating sound business judgment

Qualifications

• 10+ years of executive assistant experience, supporting senior C-suite leadership in a corporate environment

• Experience in media, advertising, consulting, or a fast-paced holding company environment strongly preferred

• Exceptional organizational skills with the ability to manage multiple priorities and shifting deadlines simultaneously

• Outstanding written and verbal communication skills; able to communicate on behalf of senior leadership with clarity and polish

• High degree of emotional intelligence, discretion, and professionalism in handling confidential information

• Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint, CoPilot), project management tools, and travel booking platforms

• Ability to operate with autonomy and thrive in ambiguity within a global, matrixed organization

• Willingness to be available outside of standard business hours as needed given the nature of executive-level demands

Compensation Range: $70,000.00 - $120,000.00 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
