Client Overview:
Our client is seeking an Executive Assistant to provide high-level administrative support to the Managing Director and Strategic Partnerships team. This is an exciting opportunity to support senior leadership within a fast-paced environment while collaborating closely with internal teams and external partners to drive business objectives.

Salary/Hourly Rate:
$90,000 - $120,000

Position Overview:
The Executive Assistant will provide high-level administrative support to the Managing Director and Strategic Partnerships team, ensuring seamless operations and effective time management. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will collaborate closely with internal teams and external partners to support business objectives.

Responsibilities of the Executive Assistant:
  • Deliver a full range of high-level administrative support, including strategic calendar management for business and personal matters, and provide updates and documentation as needed.
  • Proactively manage the Managing Director's calendar, scheduling and prioritizing appointments, and coordinating internal and external meetings across global time zones.
  • Ensure meeting effectiveness by preparing agendas and documents 24 hours prior, setting up in-office arrangements, and managing follow-ups.
  • Provide administrative support to the Strategic Partnerships team, acting as a gatekeeper and managing multiple requests while maintaining strong relationships.
  • Arrange complex international and domestic travel itineraries, including flights, accommodations, ground transportation, visas, and agendas, optimizing for efficiency and traveler preferences.
  • Monitor deadlines and follow up on action items to ensure timely completion of tasks.
  • Prepare for frequent client-based trips and visits throughout the year.
  • Support the Managing Director with ad hoc projects and various tasks.
  • Collaborate closely with the Administrative Team on all matters.
Required Experience/Skills for the Executive Assistant:
  • 3-5 years of experience in an executive assistant or similar administrative role.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to handle confidential information with discretion.
  • Financial industry experience preferred.
  • Must be legally authorized to work in the United States.
Preferred Experience/Skills for the Executive Assistant:
  • Experience supporting senior executives in a fast-paced, global environment.
  • Strong problem-solving skills and ability to anticipate needs.
  • Familiarity with travel coordination and expense management systems.
  • Ability to work independently and as part of a team.
  • High level of professionalism and interpersonal skills.
Education Requirements:
  • Bachelor's degree required.
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Additional certifications in administrative or executive support are a plus.
