Overview:
The Executive Assistant to the CEO and Office Manager at Brightview Senior Living is a highly visible role serving as a trusted partner to the CEO, providing proactive executive support through expert management of priorities, communications, scheduling, and organizational alignment. The role helps optimize the CEO’s time, focus, leadership presence, and organization impact.
Maintaining an efficient and professional workplace, the Executive Assistant to the CEO and Office Manager also provides informal leadership, guidance, and coordination for other Executive Assistants across the organization in addition to supervising the Receptionist while working from our Home Office location in Baltimore, MD.

Responsibilities:
Executive Assistant Responsibilities:
- Manage the CEO's complex calendar, ensuring alignment with organizational priorities and strategic objectives, working with other Executive Assistants as needed to arrange meetings with other leaders.
- Proactively create and protect dedicated time blocks within the CEO's schedule for strategic planning, organizational leadership, relationship development, and Brightview community visits.
- Draft, edit, proofread, and prepare correspondence, PowerPoint presentations, reports, spreadsheets, talking points, action items and meeting briefing materials.
- Plan and execute internal and external engagements that enhance the CEO's effectiveness, visibility, and stakeholder relationships, including community visits, guests, and vendor visits, speaking engagements, conferences, executive committee meetings, team meetings, and leadership events.
- Coordinate travel and logistics for CEO as well as colleagues and guests on behalf of CEO, such as travel, room reservations, transportation, meeting space, equipment, meals/catering, and prepare itineraries, agendas and other supporting materials.
- Maintain and regularly review a tracking system for open items, executive commitments, strategic initiatives, and follow-up actions requiring CEO attention.
- Manage special projects, conduct research, and gather information on behalf of CEO, maintaining confidentiality, discretion, and professionalism.
- Serve as a visible ambassador for the CEO’s and organization’s values, leadership priorities, and commitment to a welcoming, collaborative, and high-performing office culture.
- Other duties as assigned.
Office Management Responsibilities:
- Oversee daily office operations to ensure a productive, efficient, and professional work environment.
- Serve as the primary point of contact for office-related matters including building management, facility vendors, and service providers.
- Provide day-to-day supervision, coaching, and performance management for the Receptionist, ensuring a professional, welcoming, and customer-focused experience for employees, visitors, and other stakeholders.
Executive Assistant Team Oversight and Support Responsibilities:
- Serve as a resource and informal leader for Executive Assistants across the organization, strengthening communication, collaboration, professionalism, and consistency while serving as a resource and advocate for the team.
- Ensure regular EA team connection and engagement to ensure sharing of best practices, adherence to standards, joint problem solving, training, and optimizing EA workflows.
Salary Range:
USD $90,000.00 - USD $120,000.00 /Yr.
Compensation Disclosure:
The salary range mentioned above reflects the potential pay for this role and does not include bonuses or additional incentives (if applicable), nor does it include the value of our benefit program. Offers will consider factors like experience, qualifications, location, community size (if relevant), certifications/training, etc. Brightview regularly reviews and adjusts compensation ranges.
Qualifications:
- Bachelor’s degree preferred or equivalent combination of education and experience.
- 5+ years of progressive executive support experience, including direct support of a CEO, President, Founder, or Senior Executive.
- Demonstrated ability to manage complex calendars, competing priorities, and confidential information.
- Advanced skills in MS Office products including Excel, Word, PowerPoint, and Outlook; proficiency with Internet applications
- Exceptional written and verbal communication skills in English, with demonstrated ability to engage confidently and professionally with individuals at all organizational levels, including Senior Executives, board members, employees, and external business partners.
- Strategic planning, project management, and problem-solving capabilities, with a proactive approach to anticipating needs and addressing challenges.
- Strong leadership and organizational management skills, with the ability to prioritize competing demands, drive execution, and achieve results through influence and collaboration.
