Our client, growing life sciences and healthcare firm, is seeking a bright, proactive, and highly organized Executive Assistant/Office Manager to join its New York City team. This is an exciting opportunity for someone who enjoys wearing multiple hats and wants to join a growing organization where they can make an impact and expand their responsibilities over time.
The ideal candidate will have strong traditional administrative skills, including calendar management, scheduling, travel coordination, and expenses - but will also be excited to assist with broader office operations, HR/onboarding, projects, events, and communications. This is a true catch-all role for someone who enjoys being the go-to person in an office and is happy to jump in wherever needed. Prior experience within biotech, life sciences, healthcare, or a related industry is strongly preferred.
RESPONSIBILITIES
Provide day-to-day administrative support, including complex calendar management, scheduling, travel arrangements, and expense reporting
Oversee general office operations and serve as a go-to resource for employees, visitors, vendors, and building management
Assist with onboarding and offboarding, employee logistics, and other light HR-related initiatives
Coordinate meetings, events, team gatherings, and other internal and external functions
Manage and organize documents, files, presentations, and other business materials
Assist with company communications and social media initiatives as needed
Liaise with vendors and manage office supplies, inventory, and general workplace needs
Support special projects and broader operational initiatives as the organization continues to grow
Proactively identify ways to improve processes, organization, and efficiency across the office
Jump in wherever needed and take ownership of both large projects and day-to-day details
REQUIREMENTS
5+ years of administrative, executive support, office management, or related experience
Prior experience within biotech, life sciences, healthcare, or a related environment strongly preferred
Strong calendar management, travel coordination, and expense reporting experience
Excellent organizational skills and the ability to juggle multiple priorities in a fast-paced environment
Polished and professional with excellent written and verbal communication skills
Proactive, resourceful, and comfortable working in a growing, entrepreneurial environment
No-task-too-big-or-small mentality and genuine interest in taking on responsibilities outside of a traditional EA scope
Strong attention to detail, discretion, and judgment
Ability to work onsite five days per week in NYC
Hours: Monday–Friday, in office, 8am-4pm or 9am-5pm with flexibility Location: Flatiron, NYC Salary: $110K–$130K base (DOE) + bonus eligibility
