Executive Assistant & Office Manager

Support executive leadership and drive operational excellence. We're looking for a highly organized, proactive, and polished Executive Assistant & Office Manager to support our Chief Executive Officer while overseeing day-to-day Corporate Office operations for a growing, multi-location health club organization. This is a high-impact role ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys balancing executive support with office operations and employee experience initiatives.

What You'll Do

Executive Support

Manage the CEO's calendar, meetings, travel, and daily priorities with precision and discretion

Coordinate leadership meetings, board meetings, retreats, and executive communications

Prepare presentations, reports, agendas, meeting materials, and follow-up action items

Serve as a trusted liaison between executive leadership, employees, vendors, and external partners

Office Operations & Facilities

Oversee daily Corporate Office operations to ensure an organized, professional, and efficient workplace

Coordinate office vendors, maintenance, supplies, furniture, and equipment

Manage mail, deliveries, office access, workspace setup, and facility coordination

Maintain conference rooms, kitchens, break rooms, and common areas

Meetings, Events & Employee Experience

Coordinate office events, wellness initiatives, onboarding activities, and company meetings

Manage meeting logistics including catering, room setup, and audiovisual coordination

Welcome guests and create a positive, professional office environment

Support initiatives that strengthen office culture and employee engagement

Administrative & Project Coordination

Track executive and cross-functional action items, timelines, and deliverables

Support reporting, data entry, and administrative tracking using Microsoft Office and Smartsheet

Process expense reports, vendor communications, and administrative documentation

Assist with special projects and operational initiatives as needed

What We're Looking For

3-5+ years of experience supporting executives and/or managing office operations

Experience supporting C-suite executives strongly preferred

Exceptional organization, prioritization, and multitasking skills

Strong written and verbal communication skills

Ability to maintain confidentiality and professionalism at all times

Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)

Experience with Teams, calendar management systems, and Smartsheet preferred

Ability to thrive in a fast-paced, growth-oriented environment

Experience in health club, hospitality, retail, franchising, or multi-location organizations preferred
