Executive Assistant/Personal Assistant- Holler Classic Family of Dealerships

We are seeking a highly organized, initiative-taking, and dependable Executive Assistant/Personal Assistant to support Board members and their family members in both professional and personal responsibilities. The ideal candidate will be meticulous, discreet, and capable of overseeing a wide range of administrative and logistical tasks in a demanding environment.

Key Responsibilities:

  • Safeguarding the family’s personal information, managing sensitive documents, and ensuring confidentiality while always exercising discretion
  • Manage and maintain calendar, coordinate appointments, schedule meetings, and travel arrangements
  • Manage and distribute company tickets for various venues
  • Organize and prioritize incoming communications (emails, calls, mail) for multiple board members
  • Screen and respond to emails and phone calls
  • Run personal errands and assist with household or lifestyle tasks as needed
  • Assist with caretaking of family pets including but not limited to:
    • Veterinarian visits
    • Daily walks
    • Grooming appointments
    • Bringing pets to work alongside you in office
  • Prepare reports, documents, presentations, and correspondence
  • Coordinate meetings and take minutes when necessary
  • Assist with online research, bookings, and purchases
  • Coordinate with internal and external stakeholders on behalf of the employer
  • The ability to manage any issues that arise quickly and efficiently
  • Perform other administrative and support duties as assigned

Requirements:

  • Proven experience as a Personal Assistant or in a similar executive administrative role
  • Flexible schedule availability
  • Strong organizational and time management skills
  • Ability to anticipate needs and keep family members on task
  • Effective communication and interpersonal abilities
  • Ability to work independently and oversee multiple tasks simultaneously
  • Trustworthy, dependable
  • Ability to adapt to changing priorities
  • Proficient with Microsoft Office Suite
  • Tech-Savviness: Familiarity with scheduling tools, apps, and digital resources that streamline day-to-day life
  • Ability to work weekdays and weekends as needed
  • Reliable transportation
  • Valid driver’s license with acceptable driving record
  • Acceptable background and drug screening
