POSITION PURPOSE:

The Office Manager/Executive Assistant serves as a trusted partner to the CEO and executive leadership team, independently managing executive-level administrative functions, prioritizing competing demands, and exercising sound judgment on matters of significance. This role directly supports organizational operations and governance by coordinating board activities, managing executive communications, and ensuring alignment of priorities.

This individual operates with a high degree of autonomy, regularly making decisions, resolving issues, and determining appropriate courses of action in support of the CEO, executive leadership team and the organization.

WHAT YOU WILL DO:

  • Provide high-level administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements.

  • Handle confidential documents and communications with discretion.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Act as the point of contact between executives and internal/external stakeholders.

  • Provide support to the governing boards of Pittsburgh Mercy, Mercy Life Center Corporation, and Bethlehem Haven.

  • Organize and maintain files, records, and reports in both electronic and physical formats.

  • Assist in planning and coordinating company events, meetings, and conferences.

  • Track and follow up on important tasks and deadlines.

  • Manage office operations and liaise with facilities and administrative staff.

  • Support project management tasks and assist in special projects as needed.

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree preferred, high school degree required

  • Must have 5-8+ years of progressively responsible experience in executive support or related roles

  • Demonstrated experience supporting senior executives (CEO or C-suite)

  • Experience supporting nonprofit boards, including board packet ownership and governance coordination

  • Proven ability to independently manage priorities, make decisions, and exercise judgment in complex situations

  • Experience in nonprofit, healthcare, or human services organizations

  • Familiarity with governance best practices and board management tools

  • Access to transportation

  • Pre-employment drug screen

Preferred Skills:

  • Knowledge of project management tools and systems.

  • Familiarity with travel planning and expense reporting.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • High level of integrity and professionalism.

  • Excellent organizational and time-management skills.

WORK SCHEDULE: This is a Exempt (salary) position. Primarily Monday-Friday daylight with flexibility to meet some non-traditional hours as needed.
