WHAT YOULL DO
Administer and maintain contracts throughout their lifecycle, with primary responsibility for subcontractor and consultant agreements, amendments, renewals, compliance, records management, and tracking contractual obligations.
Oversee the contract calendar to monitor renewal dates, notice periods, and other key deadlines; prepare and submit contract materials to the corporate accounting office and coordinate related financial documentation.
Support overall business operations through project budgeting, financial reporting, invoicing and expense tracking, proposal and bid support, HR administration, office staffing, facilities management, and coordination with corporate IT and property management.
WHAT WERE LOOKING FOR
Minimum 3 years experience as an executive/administrative assistant, office manager, or related position, with experience supporting office operations, contracts administration, financial management, and human resources.
Advanced proficiency in Microsoft Word and Excel, including styles, templates, section breaks, formulas, pivot tables, and mail merge; strong skills with Adobe/PDF tools for combining and editing documents and Google Workspace preferred.
Highly organized and detail-oriented professional with excellent time management, clear communication, and strong problem-solving skills; able to manage multiple priorities, meet deadlines, and adapt quickly in a fast-paced environment.
An Associate or Bachelors degree in business administration, finance, accounting, or a related field is preferred; experience with federal and state contracting systems is a plus.
PHYSICAL REQUIREMENTS
This position primarily operates in an office environment and requires prolonged periods of sitting, working at a computer, and using standard office equipment. The role also involves occasional standing, walking, lifting or moving office materials weighing up to 20 pounds, and the ability to communicate effectively with colleagues, clients, and vendors.
