About the Role
This is the central administrative role inside our executive office, working one-on-one with our President, Kenneth Berry. You will not just be answering a phone or scheduling standard calendar appointments. This position serves as the functional operational filter for our corporate communication and ongoing audit data files. We interact daily with third-party fund managers, specialized attorneys, and pharmacy benefit executives. You will hold responsibility for managing these exact high-level professional relationships while tracking multi-layered project deadlines.
What You Will Do Day-to-Day
Take complete ownership of the executive calendar, protecting the workflow of the President's office from low-priority interruptions and unsolicited sales traffic.
Act as the primary professional gatekeeper and point of contact for external benefit consultants, health fund trustees, legal advisors, and corporate clients.
Format, clean up, and proofread heavy business materials, including bespoke consulting agreements, client slide decks, and PBM financial audit data reports.
Securely track and file large incoming claims data sets through our designated data sharing portals, making sure everything stays organized for our analytical reviews.
Manage occasional multi-city business travel logistics, building out precise timelines, and handling corporate expense tracking.
Handle general office operations, field inbound phone inquiries, and route time-sensitive renewal deadlines.
What We Are Looking For
At least 3 to 5 years of solid experience working as an Executive Assistant, with explicit preference for individuals coming out of insurance brokerage firms, TPA setups, boutique corporate law, or specialized healthcare administration.
Education: High School Diploma or equivalent required. Strong emphasis will be placed on your actual years of direct corporate administrative experience over formal degrees.
Natural comfort handling employee benefits terminology—you should know what a PBM, a formulary, a stop-loss policy, or an employer-sponsored plan is, or be able to pick it up exceptionally fast.
Advanced execution inside Microsoft Office Suite (heavy Outlook management, Word document building, clean PowerPoint design, and basic Excel tracking).
Exceptional command over professional business writing with the maturity required to handle highly sensitive, HIPAA-adjacent corporate and financial records.
A proactive, self-starting operational style—someone who spots calendar conflicts or data gaps before they become active issues.
Compensation & Practical Details
Hourly Base: $28.00 – $36.00 per hour
