Description:
The Executive Assistant - Public Health provides advanced administrative support for the Executive Director of Public Health performing complex tasks independently, including calendar management, high-level communications, research, and project coordination. Serve as a liaison with internal departments, public officials, boards, and external stakeholders. Exercise judgment in prioritizing work, solving problems, and handling sensitive information.
SCHEDULE:
This full-time, standard position operates on our 4-day work week, Monday-Thursday (4-10 hour days) and can expect to work a hybrid schedule with a minimum of 3 days per week in office depending on business needs.
COMPENSATION:
Hiring Range: $78,000.00 - $89,000.00 USD Annual
Compensation will be determined based on education, experience, and skills.

ESSENTIAL DUTIES:
- Manage complex and frequently changing executive priorities and calendars. Independently prioritize competing requests, anticipate scheduling conflicts, and adjust plans accordingly. Identify sensitive correspondence and respond on behalf of the executive.
- Coordinate high-level meetings including agenda development, packet preparation and accurate recording of minutes.
- Research, compile, and analyze information from multiple sources to prepare reports, briefings, and recommendations for executive decision-making.
- Draft, edit, and finalize complex correspondence, policies, presentations, and official communications including social media outreach, ensuring clarity, tone, and alignment with organizational priorities.
- Act as a central liaison between the executive's office and other county departments, elected officials, partner agencies, and the public. Facilitate communication and resolve issues. Develop and maintain relationships with internal and external stakeholders.
- Manage and monitor key projects, initiatives, and deadlines. Proactively track progress, identify potential delays, and provide regular status updates and reminders.
- Handle sensitive, confidential, and politically sensitive information with discretion; exercise sound judgment in managing access and dissemination. Maintain confidentiality across all communication tools.
- Develop and implement solutions to enhance effectiveness and efficiency within the Executive Director's office.
- Ensure compliance with applicable laws, regulations, public records requirements, and organizational policies. Support audits and reporting requirements.
- Coordinate travel, conferences, and official events, including detailed itineraries, logistics, protocol considerations, and cost tracking for Executive Director.
- Other duties as assigned.

Minimum Qualifications:
- Education: High School Diploma or equivalent
- Experience: Five (5) years of work-related experience
- Certifications/Licenses: N/A
- Note an equivalent combination of education and experience is acceptable
Preferred Knowledge, Skills and Abilities:
- Bilingual in Spanish and English
- Preferred experience in administrative support role within an executive office
- Experience with Microsoft Office Software
- Experience with Workday
- Experience with Canva or other design software/programs
