We're looking for a dependable, detail-oriented Executive Assistant to provide dedicated, one-on-one support to an Advisor. Unlike a traditional Administrative Assistant role, which often manages a wide variety of office tasks, paperwork, and incoming calls for multiple people, this position is focused on serving as the primary support partner to one advisor. The Executive Assistant plays a key role in helping the advisor stay organized, prepared, and efficient by managing client communications, tracking important details, coordinating schedules, and ensuring follow-through on critical tasks. This role is perfect for someone who is highly organized, communicates professionally, and is comfortable managing spreadsheets, client interactions, and ongoing follow-ups. In this position, you'll play a key role in keeping everything running smoothly by coordinating information, staying in touch with insurance and financial service companies for updates, and ensuring clients are well-informed and prepared for upcoming appointments. Your ability to stay on top of details and maintain clear communication will directly contribute to an efficient, professional, and positive client experience. Responsibilities: • Maintain and organize spreadsheets to track client information, applications, and follow-ups, ensuring all records stay accurate and up to date • Communicate with insurance and financial service companies to gather updates on applications, policies, and processing status • Send timely appointment confirmations and reminders via phone, text, and email to keep clients informed and prepared • Monitor and track pending cases, updating internal systems to reflect the latest status and next steps • Assist with scheduling appointments and managing the advisor's calendar to optimize time and efficiency • Document detailed notes from company calls and client interactions for clear record-keeping and follow-through • Provide general administrative support to maintain a well-organized, efficient, and professional workflow Qualifications: • Confident and professional on the phone when speaking with clients and company representatives • Comfortable using spreadsheets such as Excel or Google Sheets for tracking and organization • Detail-oriented with a high level of accuracy in managing information and follow-ups • Dependable, proactive, and able to work independently while maintaining a high standard of professionalism • Strong organizational and communication skills, with the ability to stay on top of multiple priorities Compensation: $85,000 yearly
