Scion Nonprofit Staffing has been engaged to conduct a search for an Executive Assistant for a respected mission-driven affordable housing and community development organization. This is a temporary, hybrid opportunity based in St. Paul, Minnesota, supporting executive leadership in a fast-paced and collaborative environment.

POSITION OVERVIEW

The Executive Assistant serves as a trusted partner to executive leadership, providing high-level administrative and board support while ensuring seamless day-to-day operations. This role supports multiple C-suite leaders, manages executive communications, coordinates board and committee activities, and helps drive organizational efficiency. The ideal candidate is highly organized, proactive, discreet, and thrives in a dynamic environment where priorities shift frequently.

RESPONSIBILITIES

  • Provide strategic administrative support to executive leadership, including complex calendar management, travel coordination, correspondence, presentations, and confidential communications.
  • Coordinate Board of Directors and committee meetings, including agendas, meeting materials, minutes, board portal administration, and document retention.
  • Manage executive communications by triaging emails, phone calls, legal notices, and other inquiries while ensuring timely follow-up.
  • Prepare reports, presentations, spreadsheets, and business documents while maintaining organized electronic and physical filing systems.
  • Coordinate executive projects, research, expense reporting, and company documentation requiring approvals, signatures, and notarization.
  • Support front office operations by assisting visitors, vendors, employees, and providing general administrative support as needed.

QUALIFICATIONS

  • Experience providing executive-level administrative support to C-suite leadership and Boards of Directors.
  • Strong organizational, project management, communication, and multitasking skills with exceptional attention to detail.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Ability to manage confidential information with professionalism, discretion, and sound judgment.
  • Notary Public certification or the ability to obtain certification shortly after hire.

COMPENSATION AND BENEFITS

This temporary opportunity offers a competitive hourly rate of $34-$38 per hour, based on experience.
