Executive Assistant Position
Crimson Brand Partners is seeking a highly organized, polished, and proactive Executive Assistant to support the Chief Executive Officer. This individual will serve as a trusted partner to the CEO, ensuring exceptional organization, communication, and execution across the office while representing the company with professionalism in every interaction. The ideal candidate is an experienced executive assistant who thrives in a fast-paced environment, anticipates needs before they arise, and possesses the judgment and discretion required to support executive leadership, Board members, corporate partners, university leadership, elected officials, and other high-profile stakeholders. This role requires flexibility and a commitment to supporting the CEO beyond traditional business hours, including evenings and weekends for athletic events, donor functions, community engagements, and corporate hospitality. The Executive Assistant will protect the CEO's time, serve as an extension of the CEO's office, and ensure every interaction reflects the professionalism, responsiveness, and excellence of Crimson Brand Partners.
Key Responsibilities
Executive Support
- Manage and prioritize the CEO's complex calendar, ensuring efficient scheduling and alignment with organizational priorities.
- Protect the CEO's time by proactively managing requests, prioritizing meetings, and anticipating scheduling conflicts.
- Serve as an extension of the CEO's office by representing the CEO professionally with internal and external stakeholders.
- Coordinate internal and external meetings, including agendas, briefing materials, itineraries, and follow-up action items.
- Screen, prioritize, and manage communications on behalf of the CEO.
- Arrange domestic travel, accommodations, and logistics.
- Prepare expense reports and manage executive administrative needs.
Stakeholder & Board Relations
- Serve as the primary point of contact for Board members, executive leadership, corporate partners, donors, and other VIP stakeholders.
- Welcome and professionally introduce clients, Board members, elected officials, university leaders, and distinguished guests.
- Coordinate Board meetings, committee meetings, executive retreats, and special events.
- Maintain strict confidentiality while handling sensitive information.
Event & Hospitality Support
- Represent the CEO and Crimson Brand Partners with professionalism during athletic events, donor functions, community events, and executive hospitality opportunities.
- Assist with event logistics, guest management, seating arrangements, credential distribution, and executive hosting responsibilities.
- Work evenings, weekends, and occasional holidays as business needs require.
Office & Administrative Leadership
- Help establish and maintain efficient office operations.
- Coordinate meetings, catering, office visitors, and executive conference rooms.
- Maintain filing systems, organizational records, and confidential documents.
- Support special projects and strategic initiatives as assigned.
Qualifications
Required
- Minimum 5 years of experience supporting C-suite executives or senior executive leadership.
- Exceptional calendar management skills with experience coordinating complex executive schedules.
- Outstanding verbal and written communication skills.
- Demonstrated professionalism, executive presence, and exceptional interpersonal skills.
- Strong organizational skills with meticulous attention to detail.
- Ability to exercise sound judgment and maintain absolute confidentiality.
- Advanced proficiency with Microsoft Office, Outlook, Teams, PowerPoint, Excel, and modern productivity software.
- Ability to multitask and thrive in a fast-paced, high-expectation environment.
Preferred
- Experience supporting CEOs, Presidents, or executive leadership teams.
- Experience coordinating Board of Directors meetings and governance activities.
- Background in sports, higher education, marketing, entertainment, hospitality, or corporate partnerships.
