Amazon Worldwide (WW) Operations Rapid Logistics team (R2L) is looking for an especially talented, customer service obsessed, resourceful and self-motivated Executive Assistant to help support a VP office in the WWOps team.

You will possess a keen sense of urgency and demonstrate the capacity to execute assignments autonomously with sound judgment. Essential qualities include meticulous attention to detail, ability to respond effectively using exceptional writing and editing proficiency, proven experience in event planning and building mechanisms to create efficiency.

This role requires a strong sense of ownership, composure under pressure, customer-centric orientation, and consistent adherence to deadlines. You will have superior organizational and tracking abilities, familiarity with Amazon"s internal systems, and agility in rapidly shifting priorities.

Of paramount importance is a high degree of integrity and discretion in managing confidential information, coupled with consummate professionalism when interacting with senior stakeholders both internally and externally.

This role requires five (5) days a week in office.

Key job responsibilities

Responsibilities include but are not limited to:

  • Ensure leaders/teams are prepared for meetings with correct attendees, meeting location, room size, security access, if necessary, printed document copies
  • Complex calendar management and scheduling of internal and external meetings
  • Manage domestic and international travel
  • Manage procurement of items for the team and submit expenses in timely manner
  • Assist with or organize team and org wide activities (offsites, roundtables, townhalls, happy hours, etc.)
  • Track completion of key deliverables; follow up on open items and projects as needed
  • Organize, prioritize and manage time-sensitive, confidential information; ensure any action items are executed
  • Work closely with leadership team and other Executive Assistants to provide support to the organization
  • Management of team space, including moves and reconfiguration
  • Project/program management: Support annual operational planning process, business planning, and performance review cycles.
  • Maintain team Wiki pages and shared doc locations
