Answer phones and direct calls; register and greet visitors
Perform document control and management, prepare documents and binding of presentation books for meetings
Create reports and PowerPoint presentations
Run weekly report for Executive VP
Manage calendars
Expense report processing including creation, tracking and approvals
Process Pcard Reports, reconcile monthly charges with receipts and coding
Travel coordination and planning, including booking of flights on corporate airplane, hotels, fleet car rentals and arranging interim home maintenance while executive is traveling
Manage email distribution lists; send out weekly emails
Gather signatures and approvals
Update spreadsheets
Organize weekly and monthly internal meetings, send out calendar invites with updated agenda, coordinate catering and set up conference calls, document weekly forecasts
Qualifications:
7-10 years' experience as Executive Assistant or Senior Administrative Assistant
Experienced in supporting executives and senior management in a corporate setting
Advanced Microsoft Word, Excel, PowerPoint and Outlook (Please note: Candidate will be skills tested as part of the hiring process for this role)
Maturity, professional presentation and verbiage, strong work ethic, character, values and a confident attitude; demonstrate prompt and consistent attendance
Exceptional follow-through, organization and attention to detail; multi-task and prioritize
Strong spelling, editing, proofreading, punctuation and grammar skills
Manage priorities in a fast-paced, deadline-oriented environment
