FULL DESCRIPTION:
The selected candidate will be responsible for:
Executive Support
- Provide high‑level administrative support to the CEO and Executive Leadership Team, including complex calendar management, scheduling, travel coordination, and expense reporting.
- Prepare, edit, and manage executive communications, presentations, and meeting materials.
- Serve as a trusted gatekeeper, prioritizing requests, managing competing demands, and ensuring executives are prepared for meetings and deadlines.
- Coordinate board meetings, investor interactions, and cross‑functional leadership touchpoints.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
Office Management
- Oversee daily office operations, ensuring a well‑functioning, welcoming, and productive environment.
- Manage vendor relationships, facility's needs, office supplies, equipment, and service providers.
- Lead office space planning, including seating charts and future expansion needs.
- Own office‑wide communications, culture‑building initiatives, and event planning (team meetings, all‑hands, celebrations, offsites).
- Implement and refine operational processes that scale with company growth.
Cross‑Functional Operations
- Partner with HR, Finance, IT, and Operations to support company‑wide initiatives and ensure alignment across teams.
- Support special projects, often with limited guidance, requiring strong judgment and initiative.
The selected candidate will also possess:
- Demonstrated experience managing office operations or serving in a hybrid EA/Office Manager role.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills; able to represent the company and leadership with professionalism.
- High emotional intelligence and the ability to anticipate needs before they arise.
- Comfortable working on‑site in a fast‑paced, evolving environment.
- Proficiency with modern productivity tools (Microsoft Office, Slack, Zoom, expense systems, etc.).
- A proactive, solutions‑oriented mindset with a passion for building structure and supporting high‑performing teams.
Salary Range: $110,000.00 - $130,000.00/year
