Our client, a growing manufacturing organization, is seeking a highly organized Executive Assistant to provide direct support to the Vice President of Operations. This role combines executive administration, financial support, production coordination, and bilingual communication in a fast-paced manufacturing environment.

Job Details

Responsibilities
  • Provide day-to-day administrative support to the VP of Operations.
  • Coordinate executive calendars, meetings, travel arrangements, and accommodations.
  • Prepare presentations, reports, meeting agendas, minutes, correspondence, and other business documents.
  • Review and assist with financial reports, invoices, and operational documentation.
  • Serve as the primary translator and interpreter for verbal and written communications between English and Mandarin Chinese.
  • Ensure accurate and confidential translation of meetings, emails, and technical documentation.
  • Maintain production work orders within SAP.
  • Coordinate daily production schedules and material transfers between manufacturing facilities.
  • Work closely with production departments to resolve scheduling and operational issues while communicating updates to leadership.
  • Handle multiple priorities while maintaining a high level of professionalism and confidentiality.
  • Support additional administrative and operational projects as assigned.

Qualifications
  • Bachelor's degree in Finance, Business, or a related field.
  • 2-4 years of executive administrative experience in a manufacturing or industrial environment.
  • Minimum of 2 years of Cost Accounting experience.
  • Fluent in both Mandarin Chinese and English (written and verbal).
  • Strong proficiency with Microsoft Office.
  • Experience working with ERP systems, preferably SAP.
  • Excellent organizational, communication, and multitasking skills.
  • Strong attention to detail with the ability to manage confidential information.
  • Experience coordinating logistics, scheduling, and executive-level communications.
