Summary:
The Senior Executive Assistant serves as a trusted partner tosenior leaders at UNC Health, providing high-level executive and operational administrative support.
This position supports one or more Associate Vice Presidents, Vice Presidents, Senior Vice Presidents, Presidents, or UNC Health System officers and plays a critical role in ensuring seamless day-to-day operations and progress on key organizational priorities.
Key Responsibilities:
Calendar Management
Serve as the primary liaison to senior leadership, anticipating needs related to schedules, meetings, travel, and deliverables to ensure optimal use of executive time
Strategically manage complex calendars, including prioritization, conflict resolution, buffer planning, and coordination across multiple leaders and teams
Prepare executives for meetings by coordinating agendas, materials, presentations, and pre-read documents in advance
Screen telephone calls, visitors, email, and mail on behalf of the executive, responding independently to routine matters and escalating issues as appropriate
Meeting Preparation and Support
Ensure agendas, presentation materials, and supporting documents are distributed to meeting participants in advance and follow up on action items post-meeting
Coordinate executive-level meetings, including leadership meetings, cross-functional sessions, and external engagements
Prepare and distribute meeting minutes, summaries, and action trackers to ensure accountability and follow-through
Financial and Administrative Compliance
Maintain organized digital and physical records in compliance with policies
Ensure timely and accurate submission of time and PTO entries to meet payroll and reporting requirements
Support executive and staff onboarding and offboarding
Coordinate travel arrangements and manage associated expense reconciliation
Manage executive expense reimbursement processes, including reconciliation submission, tracking, and follow-up in accordance with policies and timelines
Maintains confidentiality of information.

Education Requirements:
? High School diploma or GED
Licensure/Certification Requirements:
? No licensure or certification required.
Professional Experience Requirements:
? Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization.
Knowledge/Skills/and Abilities Requirements:
? Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
