Position Overview:

The Executive Assistant will provide high-level administrative support to company President, contributing to the smooth operation and effectiveness of the organization. The ideal candidate will be detail-oriented, proactive, and possess exceptional organizational and communication skills. They will work closely with executives to manage their schedules, coordinate meetings and travel arrangements, handle confidential information, and assist in various administrative tasks to optimize their productivity and efficiency. 

 

This position is located in Staten Island, New York

 

 

Key Responsibilities:
  • Manage executive calendars, schedule appointments, and coordinate meetings.
  • Arrange travel logistics including flights, accommodations, and transportation.
  • Prepare, edit, and organize correspondence, reports, presentations, and documents.
  • Handle incoming communications and prioritize based on urgency.
  • Maintain organized digital and physical filing systems with confidentiality.
  • Support project coordination by tracking deadlines, milestones, and deliverables.
  • Attend meetings, take accurate notes, and follow up on action items.
  • Assist with office operations including supplies, scheduling, and event logistics.
  • Prepare reports and assist with data collection and basic analysis for decision-making.
  • Serve as a professional point of contact for internal and external stakeholders.
 
 
Requirements:
  • Minimum 2 years of experience as an Executive Assistant or in a similar administrative support role.
  • Experience supporting senior or C-level executives preferred.
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Willingness to be trained and grow within the role.
  • High School Diploma/GED required.
Pay Range: USD $20.00 - USD $40.00 /Hr.
