Our client, a global investment firm based in Midtown East, is seeking a Strategic Business Support Partner to provide high-level executive support to a team. This role represents the evolution of the traditional Executive Assistant, serving as a proactive partner to leadership while combining executive support with operational coordination to help teams operate more effectively. RESPONSIBILITIES:
Leadership & Business Support
Manage complex calendars and meeting requests with a strong understanding of prioritization, stakeholder dynamics, and anticipating scheduling conflicts.
Coordinate domestic and international travel, itineraries, expense reporting, and related administrative support while helping transition transactional work to centralized processes where appropriate.
Provide high-touch support to local leaders and leadership groups, including complex scheduling, meeting preparation, follow-up tracking, and prioritization support.
Coordinate leadership operating rhythms, including staff meetings, planning sessions, quarterly reviews, recurring management forums, and executive events.
Prepare agendas, meeting materials, pre-reads, and correspondence; track decisions and action items to ensure follow-through.
Support team communications, organizational charts, recurring reporting, and proactively identify and resolve scheduling, communication, and coordination bottlenecks.
Office-Wide Support & Coordination
Support office-wide administrative initiatives, including onboarding, organizational changes, internal communications, employee engagement efforts, and recurring local programs.
Serve as a liaison between leadership, Facilities, HR, IT, Finance, Travel, and other corporate support functions.
Coordinate backup coverage across the local business support team to ensure continuity and responsiveness.
Team Development & Process Improvement
Provide day-to-day guidance and coordination to Business Support Partners and office support resources.
Standardize templates, trackers, meeting processes, and administrative workflows while identifying opportunities to improve efficiency, service quality, and consistency.
Work within a collaborative, pooled support model that emphasizes flexibility, responsiveness, cross-coverage, and shared accountability.
Administrative Operating Model
Serve as the local lead for the business support model, helping define priorities, workflows, intake standards, and service expectations.
Partner with the Corporate Services & Administrative Manager to implement pooled support practices, standardized processes, and determine work appropriate for centralized/shared services versus local support.
Monitor high volumes of calls, emails, and communications while prioritizing correspondence, drafting responses, and ensuring timely follow-up on executive action items.
Plan and coordinate recurring team meetings and executive meetings requiring complex logistics, meeting space, technology, hospitality, and supporting materials.
Maintain familiarity with company policies, including travel, IT, personal stock, and record retention.
Build detailed travel itineraries, agendas, directions, and supporting materials for executives and firm guests.
Serve as a professional liaison with clients, investors, guests, and internal stakeholders while representing the firm's culture and values.
Handle highly confidential information with discretion and professionalism.
Provide concierge-style support for guests, including travel, dining, local transportation, and other office-related needs.
REQUIREMENTS:
5–7+ years of experience in executive support, administrative operations, or business support within professional services, financial services, or a similarly fast-paced environment.
Strong executive presence, judgment, and professionalism.
Proven ability to manage multiple senior stakeholders and competing priorities.
Demonstrated success improving processes and creating structure in evolving environments.
Excellent written communication, meeting management, and stakeholder coordination skills.
High level of discretion and confidentiality.
Strategic mindset, not just task-oriented.

SALARY:
$105-$120K (DOE) + Excellent benefits (including a fully covered option for employees) + Discretionary bonus opportunity, 401K/match
HOURS:
8:30am-5:30pm + Flexibility. This role is in the office 4x a week w/ a rotational Friday
