The Fountain Group is currently seeking an Executive Assistant for a prominent client of ours.  This position is located in ­­Summit, NJ (HYBRID). Details for the position are as follows:

Contract of 3 months to start, with potential extensions.

Pay range is $30-42/hr (based on yrs of exp and industry/no industry exp).
Hybrid: flexibility for remote longer term depending on candidate.
Open to Remote for the right candidate (pharma industry and executive support exp).

Job Description:

  • Primary support for: SVP, Head of R&D / Chief Medical Officer, Head of North America Medical Affairs, Head of Global Medical Strategy, and Occasional ad hoc support to additional team members as needed.

  • This role will interact with executive and all levels of management throughout the organization (international and domestic) necessitating poise, tact, diplomacy, discretion and sound judgement. This role will manage key routine and special projects, schedules and expenses for key leaders. The role requires a highly skilled, proactive, detail-oriented, organized, self-directed professional who can handle a variety of sensitive and confidential matters with discretion and efficiency.
  • Provides administrative support to leadership. Candidate must project manage with ability to multi-task in a fast-paced environment
  • Must be comfortable working with multiple time zones.
  • Coordinate domestic and international travel arrangements and ensure proper approvals for team members are obtained.
  • Prepare and coordinate expense reports adhering to company policy and ensuring the timely submission.
  • Create and manage/edit PowerPoint presentations, Excel Spreadsheets and Word documents fit for purpose.
  • Maintain a strict sense of professional ethics, ensuring confidentiality and privacy and abiding by Company policy.
  • Manage and coordinate calendars and communications with internal and external contacts. Assist with appropriate planning to ensure optimum time utilization and all routine requirements are met.
 

Qualifications:

  • High school diploma required; Associate degree preferred.

  • ~2-5+ years of administrative/EA experience.
  • Prior EA experience supporting senior leaders strongly preferred.
  • Pharmaceuticals, biotech, healthcare, clinical drug, and/or medical device manufacturing environments highly preferred. 
  • Strong organizational skills, confidentiality/discretion, and ability to manage multiple priorities.
  • Proficient in Word, Excel, PowerPoint and Outlook.
