Schedule: M-F, 8AM - 5PM
Job description:
- Provides high-level administrative support to the Vice President of Legal, including drafting correspondence, managing documents and files, processing invoices, and overseeing check requisitions and reimbursements.
- Prepares, maintains, and distributes legal department reports, bylaws, policies, and confidential materials, ensuring accuracy and system-wide dissemination.
- Manages communications by answering and screening calls, coordinating meetings and teleconferences, and serving as a point of contact for internal staff and visitors.
- Oversees data entry and recordkeeping for legal and financial information, including tracking outside counsel fees, costs, and departmental records.
- Coordinates mailings, travel arrangements, professional memberships, and staff support functions, while training and supervising administrative staff and assisting with basic technical troubleshooting.
- Note that Dictation Software experience is required- This person will be listening to the recording and typing as they listen.
Requirements:
- Must have (5)+ years of recent executive support experience; CEO, VP, COO etc titles in the Legal department
- Must be familiar with basic legal terms
- Dictation software, transcribing handwritten notes and typing into system
- High school diploma or equivalent
- Background check required
- Drug screening required
