Executive Assistant to support an executive of the organization in a high-trust, high-visibility role.
Salary/Hourly Rate: $90k - $120k
Position Overview: The Executive Assistant will provide comprehensive executive support across both professional and personal responsibilities, including complex calendar management, inbox and email prioritisation, travel, family scheduling, and personal logistics.
The ideal candidate is highly organised, proactive, tech-savvy, and comfortable anticipating needs and managing competing priorities with discretion. This person will serve as a trusted extension of the Co-Founder, helping create structure, prioritise commitments, and keep day-to-day responsibilities running smoothly.
Responsibilities of the Executive Assistant:- Manage a complex and fast-moving professional and personal calendar, proactively identifying conflicts and prioritising competing requests.
- Manage and triage inbox, identifying priorities, tracking follow-ups, and ensuring important items are addressed.
- Serve as a trusted gatekeeper and first point of contact for internal and external communications.
- Coordinate meetings, including scheduling, logistics, materials, video conferencing, and follow-up.
- Arrange domestic and international business and personal travel, including flights, hotels, transportation, and detailed itineraries.
- Prepare and submit expense reports accurately and timely.
- Coordinate with the family of the executive spouse and family on personal scheduling, family commitments, and logistics.
- Manage personal appointments, reservations, gifting, errands, and other personal projects.
- Coordinate household-related logistics, vendors, deliveries, and occasional family events.
- Support family travel and vacation planning from start to finish.
- Draft and proofread correspondence on behalf of the executive.
- Maintain contact records and assist with keeping CRM information current.
- Help prepare briefing materials, talking points, and information ahead of important meetings and commitments.
- Track action items and follow-ups to ensure commitments are completed.
- Identify opportunities to improve administrative systems, processes, and efficiency.
- Leverage technology, automation, and AI tools where appropriate to streamline workflows.
- Partner with the broader administrative team on events, visitors, vendors, and other firm initiatives.
- Provide occasional after-hours support when necessary for travel or schedule changes.
Required Experience/Skills for the Executive Assistant:- 10-12+ years of experience supporting senior executives, founders, C-suite leaders, or other high-level professionals.
- Previous experience in a true Executive Assistant and/or Personal Assistant capacity.
- Demonstrated experience managing both professional and personal responsibilities for a senior executive.
- Ability to anticipate needs, think ahead, and proactively solve problems.
- Strong written and verbal communication skills.
Preferred Experience/Skills for the Executive Assistant:- Experience supporting an executive, entrepreneur, private equity professional, investor, or senior executive in a professional services environment.
- Experience providing significant personal and family support.
- Experience coordinating directly with a spouse or family members.
- Experience using AI, automation, and technology to improve efficiency.
Education Requirements:- Bachelor's degree preferred; equivalent professional experience will be considered.
