Description

Role

We’re looking for a highly organized, proactive, and adaptable Executive Assistant to support our CEO while helping manage our Mountain View office operations. This role is ideal for someone who thrives in fast-paced startup environments, enjoys creating structure out of ambiguity, and takes pride in enabling others to do their best work.

You’ll operate as a operational partner to the CEO and broader executive team while also serving as a key driver of office management and executive coordination across the company. This is a hands-on role that requires exceptional judgment, communication skills, attention to detail, and the ability to balance multiple priorities simultaneously.

Responsibilities

Executive Support

  • Own the CEO's calendar and travel — Provide comprehensive support to the CEO, including: managing complex calendars, scheduling meetings, domestic/international travel organiation and coordinating priorities across internal and external stakeholders
  • Drive meeting prep and follow-through — agendas, action items, deadlines, and commitments tracked to completion
  • Communicate on the CEO's behalf — handle internal and external comms when appropriate, with judgment about tone and timing
  • Protect the CEO's focus — proactively spot ways to improve efficiency and keep attention on top priorities
  • Run point on cross-company projects — help plan and execute operational and administrative initiatives across the company

Office Management

  • Run the Mountain View office — keep day-to-day operations welcoming, productive, and reflective of the company's culture
  • Manage vendors and facilities — own relationships with vendors, building management, and service providers
  • Keep the office stocked and working — supplies, equipment, snacks, SWAG, and facilities maintenance
  • Own office culture moments — events, team lunches, celebrations, and onsite activities
  • Support office growth — workspace planning and scaling initiatives as the team grows

Experience

Required

  • EA track record — 3+ years supporting senior executives or founders (reconcile with the header number)
  • Startup-tested — you've operated in a fast-paced, high-growth environment where the playbook was still being written
  • Judgment and discretion — sound judgment with sensitive, confidential matters; people trust you with the things that can't leak
  • Genuine AI fluency — you use AI in your day-to-day work concretely, not just in passing
  • Exceptional communicator — clear, calibrated written and verbal communication, with real attention to detail
  • Calm under many priorities — resourceful and adaptable when things move fast and shift often
  • Fluent in the stack — strong proficiency with Google Workspace, Slack, Notion, and other productivity tools

Preferred

  • Founder-level support — direct experience supporting a CEO or founder
  • Office ops background — experience running office operations or workplace coordination
  • Process builder — has built internal processes that improved how an organisation runs
  • High EQ — strong emotional intelligence and interpersonal instincts

Compensation

The cash compensation range for this role is $120,000 – $160,000.

Final offer amounts are determined by multiple factors, including experience and expertise, and may vary from the amounts listed above.

Equity components may also be considered as part of the overall compensation package.
