Executive Assistant to the CFO
Location: Orlando, FL (Onsite)
Salary: $65,000-$75,000

We are seeking an experienced Executive Assistant to the Chief Financial Officer (CFO) to join our team. This high-impact role combines executive support, project coordination, and business office administration, making it ideal for someone who enjoys variety, collaboration, and taking ownership of important initiatives.
As the Executive Assistant to the CFO, you will serve as a key partner to executive leadership while helping manage the daily operations of the Business Office.
Manage the CFO's calendar, appointments, meetings, and special events.
Prepare professional correspondence, presentations, reports, and materials for Board and senior leadership meetings.
Take meeting notes and track follow-up action items to ensure accountability and completion.
Coordinate and support cross-functional projects involving multiple departments.
Serve as a liaison between the CFO and internal and external stakeholders.
Assist with vendor onboarding, contract review, and compliance documentation.
Support the competitive bid process and vendor selection procedures.
Maintain service contracts and ensure invoice accuracy.
Coordinate with third-party vendors and service providers to address operational needs.
Complete credit applications and maintain financial records and documentation.
Assist with accounts payable processes, invoice approvals, and check requests.
Support the CFO in monitoring aging reports and outstanding balances.
Respond to billing inquiries and provide administrative support to families and stakeholders.
Serve as the first point of contact for visitors, phone calls, and general Business Office inquiries.
Bachelor's degree in Business, Finance, or a related field or at least 5 years of experience supporting C-suite executives.
Minimum of 5 years of experience in a business office or administrative environment.
Exceptional organizational, communication, and multitasking abilities.
Strong proficiency with Microsoft Office Suite, Google Workspace, and presentation development.
Ability to handle confidential information with professionalism and discretion.
Excellent problem-solving, critical thinking, and relationship-building skills.
Experience in a educational, nonprofit, or mission-driven organization.
Familiarity with financial systems and accounting processes.
Experience supporting senior executives in a complex organizational environment.
