Our client, a global investment firm based in Midtown East, is seeking an Executive Assistant to provide high-level administrative support to executives. This is a fast-paced, high-volume role requiring someone who can work proactively, manage competing priorities, and anticipate the needs of the executives they support. The ideal candidate is highly organized, adaptable, and communicative, with strong judgment, attention to detail, and a team-oriented approach. RESPONSIBILITIES:
Manage heavy and fluctuating executive calendars, proactively prioritizing meeting requests, anticipating conflicts, and communicating changes.
Monitor high volumes of calls, emails, mail, and other communications; prioritize inquiries, draft and edit correspondence, and ensure necessary follow-up.
Plan and coordinate team meetings, complex executive meetings, events, and off-sites, including scheduling, meeting space, technology, materials, and hospitality.
Coordinate complex domestic and international travel, including detailed itineraries, agendas, directions, and supporting materials.
Prepare accurate and timely expense reports.
Maintain familiarity with company policies and procedures.
Liaise professionally with clients, investors, guests, executives, and internal teams while handling sensitive and confidential information with discretion.
Provide additional executive and administrative coverage as needed, for colleagues across the broader administrative team.
Assist company guests with office and concierge-style needs, while proactively stepping in to support the team as needed.
Handle ad hoc requests as needed.
REQUIREMENTS:
5-7+ years of experience providing administrative support within a financial institution, professional services, or a similarly fast-paced environment.
Proven ability to manage a high volume of work, prioritize competing tasks, and respond with a sense of urgency.
Exceptional attention to detail, accuracy, and follow-through.
Excellent verbal and written communication skills.
Proactive, self-motivated, and adaptable, with the ability to anticipate needs, work independently, and identify opportunities to improve workflows.
Collaborative team player who thrives in a fast-paced, dynamic environment and is willing to step in wherever needed.
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, with the ability to produce and edit spreadsheets and presentations.
SALARY:
$105–$125K (DOE) + excellent benefits, including a fully covered option for employees + discretionary bonus opportunity + 401(k)/match
HOURS:
8:30am–5:30pm + flexibility. This role is in the office 4x/week, with a rotational Friday approximately once every two months.
