Location: Baltimore, MD (On‑site)

Employment Type: Direct Hire

Salary: $90,000-$100,000 (will not exceed $100K)

Position Overview

We are seeking an experienced Executive Assistant to the Investment Team to support a group of investment professionals at a small, fast‑paced investment firm. This role is best suited for a strong administrative professional who thrives in a hands‑on, collaborative environment and has prior experience in financial services.

Responsibilities

Investment Team Support

• Provide full calendar management using Outlook
• Schedule internal and external meetings with brokers, analysts, and company management
• Coordinate all travel arrangements (air, hotel, rail); prepare detailed itineraries
• Support multiple investment professionals with partner‑level administrative needs
• Track follow‑ups and maintain organized communication flow

Office & Team Support

• Order office supplies and manage general office needs
• Handle mail and deliveries
• Coordinate internal events, birthdays, and work anniversaries
• Help maintain a professional, organized office environment

Additional Support

• Provide cross‑coverage for other administrative team members
• Assist with firm initiatives and event logistics
• Participate in evaluating or helping implement a CRM (not required)

Schedule & Work Environment

• Full‑time, in‑office position
• Flexibility required; not a strict 8:00-5:00 role
• Occasional early mornings, evenings, or extended hours may be needed
• No formal PTO policy

Qualifications

Required

• Strong Executive Assistant or senior administrative experience
• Prior experience in investment management, hedge funds, or financial services strongly preferred
• Advanced Outlook calendar management skills
• Proficiency with Microsoft Teams and Microsoft Office
• Ability to support multiple fast‑paced professionals
• Highly organized, proactive, and detail‑oriented

Preferred

• Hedge fund or asset management background
• Experience supporting tech-savvy, fast‑moving teams
• Interest in contributing beyond core administrative responsibilities
