RFG Advisory is looking for a detail-obsessed, process-driven Executive Assistant to serve as the operational backbone of our CEO’s office. This is not a stepping-stone role. It’s a mission-critical position for someone who finds deep satisfaction in creating order, protecting time, and ensuring nothing falls through the cracks. Location: Birmingham, AL (In-office; remote flexibility available when the CEO is traveling)
Reports to: Director of Executive Operations
What You'll Do
Calendar Mastery
- Manage the CEO's calendar with precision and foresight.
- Anticipate conflicts, protect strategic time, and ensure every meeting has purpose.
- Coordinate seamlessly with the Chief of Staff to align time with priorities.
Meeting & Travel Logistics
- Triage and organize the CEO's inbox with clarity and discretion.
- Draft, proof, and send communications on behalf of the CEO.
- Ensure timely follow-up and closed-loop communication with internal and external stakeholders.
Meeting & Travel Logistics
- Prepare agendas, materials, and briefing documents for meetings.
- Coordinate complex travel with attention to detail and contingency planning.
- Ensure the CEO is always prepared, focused, and never surprised.
Operational Consistency
- Build and maintain systems for meeting prep, follow-up, and stakeholder engagement.
- Create repeatable processes that bring order to a dynamic environment.
- Track commitments and ensure nothing falls through the cracks.
Trusted Support
- Serve as a calm, steady presence in a fast-paced, high-growth environment.
- Maintain confidentiality and professionalism at all times.
- Be the go-to person for getting things done right, the first time.
Compensation:
$80,000-95,000

Requirements:
Experience
- 3+ years of experience supporting senior executives in a fast-paced environment preferred
- Proven track record in calendar, travel, and communication management
- Demonstrated ability to build systems, enforce processes, and manage details independently
