Open Position: Executive Assistant to the CEO

Job Description: The Executive Assistant to the CEO serves as a trusted partner to the Chief Executive Officer, providing high-level administrative, organizational, and operational support in a fast-paced and highly dynamic environment. This individual will play a critical role in helping the CEO manage priorities, communications, scheduling, and strategic initiatives while maintaining absolute confidentiality and professionalism. The ideal candidate is exceptionally organized, highly self-motivated, and comfortable operating with ambiguity. They must possess sound judgment, strong interpersonal skills, and the ability to anticipate needs before they arise.

Responsibilities:

  • Manage the CEO’s complex calendar, including scheduling internal and external meetings across multiple stakeholders

  • Coordinate domestic and international travel arrangements, itineraries, and related logistics

  • Serve as a primary point of contact for senior executives, clients, board members, and external partners

  • Prepare and organize materials for meetings, presentations, and board-related activities

  • Track and prioritize action items, follow-ups, and key deliverables on behalf of the CEO

  • Support confidential projects, communications, and strategic initiatives with discretion and professionalism

  • Assist with planning and coordination of firm events, leadership meetings, and offsites

  • Manage expense reporting, invoices, and other administrative functions accurately and efficiently

  • Build strong working relationships across all levels of the organization and act as a collaborative partner to senior leadership

  • Anticipate needs, proactively identify solutions, and adapt quickly to changing priorities

Required Skills and Experience:

  • Bachelor’s degree preferred

  • 7+ years of executive support experience, preferably supporting C-suite executives within financial services, asset management, investment banking, or a similarly fast-paced professional environment

  • Exceptional organizational and time management skills with strong attention to detail

  • Proven ability to manage sensitive information with the highest degree of confidentiality, integrity, and discretion

  • Highly self-directed with the ability to work independently, exercise judgment, and thrive in ambiguous situations

  • Strong written and verbal communication skills

  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel

  • Demonstrated ability to prioritize competing demands and maintain composure under pressure

  • Professional presence with excellent interpersonal skills and a service-oriented mindset

Compensation is based on experience, skill set, and business needs.

Base Salary: $90,000 - $120,000

Bonus Eligibility: This role is eligible for an annual discretionary bonus.

IR+M operates in a hybrid model. This role requires an on-site presence 4+ days a week.
