About the Role
We’re a growing SaaS company looking for a highly organized, proactive Executive Assistant to partner closely with our CEO and leadership team. This role is central to helping the business operate efficiently by ensuring priorities stay aligned, communication flows smoothly, and key initiatives move forward.
You’ll serve as a trusted partner to the CEO, helping manage day-to-day operations while contributing to company events, executive coordination, and operational improvements across the organization. This is an opportunity to work closely with leadership in a fast-paced, collaborative environment where your contributions will have visible impact.
The role is well suited to early-career professionals, recent college graduates with strong administrative or operational experience, or Executive Assistants looking to grow their careers within the technology and SaaS industry. Key Responsibilities
Executive & Calendar Support
Manage the CEO’s calendar, prioritizing meetings and resolving scheduling conflicts proactively
Coordinate internal and external meetings across multiple time zones
Prepare agendas, meeting materials, and follow-up items
Organize Zoom, Google Meet, and conference calls
Travel & Expense Coordination
Arrange domestic and occasional international travel, including itineraries, accommodations, and transportation
Prepare detailed travel briefs and logistics documents
Submit and reconcile expense reports accurately and on time
Also provide travel coordination support for CFO as needed
Board & Leadership Coordination
Support leadership meetings, executive offsites, and recurring company meetings
Help coordinate Board of Directors meetings and investor-related scheduling
Assist with preparation and distribution of board materials and executive updates
Events & Team Support
Coordinate company events, team offsites, customer dinners, and internal gatherings
Manage vendors, venues, timelines, and logistics
Partner with internal teams on culture-building and employee engagement initiatives
Communication & Operations
Help manage and prioritize inbound communications on behalf of the CEO
Draft professional emails, announcements, meeting recaps, and correspondence
Maintain confidentiality while serving as a key point of contact for executive communications
Build and improve systems, trackers, templates, and operational processes
Special Projects
Support strategic and operational initiatives across the leadership team
Assist with new hire onboarding coordination, administrative support, and process improvements across the organization
Identify opportunities to improve efficiency, organization, and operational workflows within the CEO’s office
Skills, Experience, and Qualifications
4+ years of experience supporting senior executives in an Executive Assistant or similar role, preferably within a SaaS or technology environment
Experience supporting a CEO, founder, or executive leadership team, including calendar management, travel coordination, and executive meeting support
Strong organizational, prioritization, and communication skills with exceptional attention to detail
Ability to manage confidential information with professionalism, discretion, and sound judgment
Comfortable working independently in a fast-paced, evolving environment with shifting priorities
Proficiency with Google Workspace and Slack; familiarity with tools such as Notion, Asana, Linear, Brex, Ramp, or Expensify is a plus
Exposure to board meetings, investor communications, executive offsites, or company event coordination preferred
Interest in leveraging AI tools such as ChatGPT or Claude to improve workflows and efficiency
Reliable high-speed internet and a professional remote work environment required
Location and Schedule
Fully remote home-office role; reliable high-speed internet and a quiet, professional workspace are required
Strong preference for candidates based in Greater Boston; otherwise candidates in MA, NH, ME, CT, or RI are highly preferred
Available during standard U.S. Eastern business hours, with occasional flexibility around travel and board events
Available as a part-time or full-time engagement

Full-time: $60,000–$75,000 annually
Part-time: $30–$40/hour
