    Executive Assistant to the Chief Executive Officer and Chief Operating Officer

    POSITION SUMMARY:
    The Jewish Federation of Cincinnati seeks an exceptional Executive Assistant to serve as a trusted partner to the Chief Executive Officer (CEO) and Chief Operating Officer (COO). This highly visible role is ideal for a seasoned executive support professional who thrives in a fast-paced environment and has a proven track record supporting senior executives, managing board-level interactions, and serving as a key liaison among executive leadership, volunteers, donors, community leaders, and external stakeholders.
    The CEO and COO operate as a closely aligned leadership team, and this position serves as a strategic partner to both executives while reporting directly to the CEO. Success in this role requires exceptional judgment, executive presence, discretion, organizational excellence, and the ability to anticipate needs before they arise.
    Key Responsibilities
    Executive Leadership Support
    • Serve as a trusted partner and primary point of contact for the CEO and COO.
    • Manage highly complex calendars, scheduling priorities, and competing demands while exercising sound judgment on executive time management.
    • Anticipate executive needs, proactively identify challenges, and develop solutions to maximize leadership effectiveness.
    • Manage sensitive and confidential information with the highest degree of professionalism and discretion.
    • Review incoming correspondence, requests, and materials, determine priorities, and facilitate appropriate follow-up.
    Board and Governance Support
    • Coordinate board and committee meetings, preparation and distribution of board materials, and minute-taking.
    • Maintain board records and ensure timely communication of critical information and decisions.
    Project and Operations Management
    • Coordinate and manage special projects and organizational initiatives on behalf of the CEO and COO.
    • Support operational initiatives and assist with the coordination of leadership meetings, retreats, and organizational events.
    Stakeholder and Relationship Management
    • Interact professionally and effectively with donors, volunteers, community leaders, board members, and staff at all levels of the organization.
    Database and Administrative Management
    • Generate reports, dashboards, and data summaries as requested.
    • Prepare and process executive expense reports and credit card reconciliations.
    • Coordinate executive travel arrangements and itineraries.
    • Manage meeting logistics including room reservations, technology needs, catering, and event support.
    • Provide additional administrative and operational support as needed.
    Qualifications
    Required Qualifications
    • Bachelor's degree preferred.
    • Minimum of 7+ years of experience supporting senior executives, C-suite leaders, presidents, CEOs, or other executive-level leadership.
    • Demonstrated experience supporting boards of directors, executive committees, or volunteer leadership groups.
    • Exceptional organizational, project management, and multitasking abilities.
    • Outstanding written, verbal, and interpersonal communication skills.
    • Strong executive presence with the ability to interact confidently and professionally with high-level stakeholders.
    • Proven ability to exercise sound judgment, maintain confidentiality, and manage sensitive information.
    • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
    • Ability to work independently, prioritize competing demands, and thrive in a dynamic environment.
    • Experience using CRM/database systems such as Microsoft Dynamics.
    Work Environment
    • Full-time, in-office position based in Cincinnati.
    • Regular business hours with occasional flexibility required for evening board meetings, community events, or executive functions.
