We are seeking a highly organized Executive Assistant (EA) to provide comprehensive, high-level administrative support. This dynamic role goes beyond traditional calendar management; it demands a strategic gatekeeper who also possesses specialized experience in medical credentialing and provider onboarding. You will serve as the primary operational bridge between executive leadership, our medical staff, and external healthcare providers.
Executive Support
Strategically coordinate complex, competing executive calendars, evaluating requests to prioritize time for leadership.
Draft, edit, and proofread high-level correspondence, presentations, and reports. Act as the primary gatekeeper for internal teams, physicians, and external stakeholders.
Organize executive-level meetings and prepare agendas, assemble materials, and track actionable next steps.
Acts as department resource in answering questions or directing concerns to the appropriate person.
Manage special projects as designated by the CEO, CFO, or COO.
Manage contract authorization process.
Medical Credentialing & Compliance
Manage the end-to-end credentialing and re-credentialing process for physicians and mid-level providers.
Facilitate provider onboarding by ensuring malpractice insurance is up to date and verifying employment agreements.
Maintain digital provider profiles, tracking accurate renewals for state medical licenses, DEA certifications, and board certifications to prevent lapses.
Review incoming legal documents or subpoenas before escalating to executives, protecting highly sensitive and confidential healthcare information.
Requirements
Minimum five (5) years of experience as an Executive Assistant supporting senior leadership required.
Minimum one (1) year of direct experience handling medical credentialing required.
Familiarity with healthcare administration, provider enrollment, and compliance standards required.
Proficient with software (Microsoft Office applications to include Outlook, Word, and Excel) and credentialing software.
Absolute commitment to confidentiality and handling sensitive business and medical data with extreme tact.
Flexibility to occasionally coordinate evening provider meetings or respond to urgent executive schedule adjustments.
