About the Role
Boogie Team is looking for a highly organized, detail-oriented, and proactive Executive Assistant to support the CEO with daily operations, communication, scheduling, follow-ups, and team coordination.
This role is ideal for someone who can work closely with leadership, manage priorities, and help keep internal tasks moving. The right candidate should be dependable, tech-savvy, and comfortable supporting both administrative work and team accountability.
You will play an important role in helping the CEO stay organized, communicate clearly, and follow through on key priorities. This position requires someone who can take direction well, think ahead, and professionally guide or coach team members when needed.
Key Responsibilities
Manage the CEO’s calendar, meetings, reminders, and follow-ups.
Organize tasks, notes, documents, and internal updates.
- Communicate with team members, candidates, clients, or partners on behalf of the CEO when needed.
- Track action items, deadlines, and deliverables to ensure follow-through.
- Assist with creating summaries, reports, SOPs, and internal documentation.
- Support team coordination by helping guide, remind, and coach team members based on the CEO's direction.
- Handle confidential information with professionalism and discretion.
Requirements
- Previous experience as an Executive Assistant, Administrative Assistant, Operations Assistant, Team Coordinator, or similar role.
- Strong attention to detail and ability to follow instructions accurately.
- Excellent written and verbal English communication skills.
- Highly organized, proactive, and reliable.
- Comfortable working directly with leadership and handling changing priorities.
- Able to support accountability in a professional, respectful, and coachable way.
- Tech-savvy and comfortable using tools such as Google Workspace, Slack, GoHighLevel/GHL, ClickUp, Notion, Manatal, or similar platforms.
Preferred Qualifications
- Experience supporting a CEO, founder, staffing agency, recruitment team, or operations leader.
- Background in recruitment, staffing, HR, team coordination, coaching, or people operations.
- Experience working remotely with U.S.-based teams or clients.
- Ability to create organized trackers, process documents, reports, or task updates.
- Strong problem-solving skills and ability to anticipate needs before being asked.
