Position Description

Manhattan University, an NCAA Division I institution and member of the Metro Atlantic Athletic Conference (MAAC), is seeking a qualified candidate for a 12 month, full-time position as an Executive Assistant to the Director of Athletics. The primary responsibility is to provide executive-level administrative assistance, research, game day functions and general support to the department which manages 19 NCAA Division I sport programs. Requires an understanding of issues related to policies and procedures and confidential matters. This is an in person on campus non- remote position.

We are seeking a highly organized, proactive, and detail-oriented professional to serve as Executive Assistant. This position plays a vital role in supporting the daily operations of the Department of Athletics by providing executive, administrative support.

Job Responsibilities

  • Provide comprehensive executive level support to the Director of Athletics in the daily operations and management of the Department of Intercollegiate Athletics.
  • Manage special projects, including the preparation and development of reports, surveys, presentations, and other departmental materials.
  • Support senior-level administrators with calendar management, meeting coordination, correspondence preparation, purchasing activities, and event planning.
  • Oversee the student employment and graduate assistant programs, including budget administration, in collaboration with the Senior Associate Athletic Director for Internal and Business Operations.
  • Partner with the Director of Athletics on a variety of administrative initiatives, including position searches, onboarding processes, records management, and the administration of sport contracts.
  • Manage the procurement, inventory, and distribution of departmental office supplies and equipment, including computers, mobile devices, and textbooks.
  • Coordinate the departmental textbook program, including distribution and collection, in partnership with the Offices of NCAA Compliance and Academic Success.
  • Arrange dining, facility logistics, and related accommodations for meetings, departmental functions, and special athletic events.
  • Complete all required departmental and institutional training programs and actively participate in professional development opportunities.
  • Monitor and manage communications for the Athletics Departments main office, including responding to and directing, and resolving email inquiries.
  • Provide operational support for departmental activities and events, including those occurring during evenings and weekends as needed.
  • Other special projects and duties as assigned.

Requirements

  • Bachelor's Degree required; advanced degree in Sports Administration, Business Administration, or related field preferred.
  • Minimum 2+ years relevant experience.
  • Demonstrated ability to work independently, manage complex projects with minimal supervision, exercise sound judgement, and take initiative in a fast-paced, high-profile environment.
  • Ability to communicate effectively and professionally, including written, interpersonal and public speaking.
  • Assertive, resourceful and possessing the ability to handle multiple tasks in a demanding, fast-paced environment.
  • Must be proficient with Microsoft Word, Excel, Outlook, and OneDrive.
  • Maintain an openness to adopting new technologies and applying them effectively in support of departmental goals and objectives.
  • Commitment to developing a strong working knowledge of NCAA rules and regulations, establishing knowledge of the operational and compliance requirements of NCAA Division I athletics programs.
  • Occasional evenings and weekend work will be required.

Supplemental Information

  • Possession of a valid driver's license is preferred.
  • Proficient in ARMS preferred (athletics compliance and management software).
