Right hand and strategic partner to a multi company Founder and Principal
Location: Remote within the United States, with a strong preference for candidates in San Ramon, California, or the greater San Francisco East Bay area

A founder led executive services firm is searching for a full time Executive Assistant to support its Principal and Founder.
The company supports multiple high growth technology and cybersecurity businesses at once. This role will become the right hand and strategic partner to the Principal: owning the calendar, protecting the Principal's time, keeping commitments on track, and taking execution work off their plate so they can remain focused on clients and business growth.
This is not a purely administrative role. You will operate with real delegated authority, making day to day decisions on the Principal's behalf, pushing back when priorities compete, and holding the Principal accountable to their commitments. You'll work directly with Boards of Directors, CEOs, investors, executives, and clients across multiple active engagements and will be trusted with sensitive, confidential information across every one of them.
The ideal candidate has supported a founder, CFO, or senior executive at startup pace, knows how to manage a principal, not just a calendar, and wants to grow into a true strategic partner as the company scales.
• Serve as sole owner and gatekeeper of the Principal's calendar across every client engagement, board commitment, and personal obligation, proactively defending focus time, not just booking what's asked
• Make real time judgment calls about where the Principal's time is best spent and renegotiate conflicts without waiting for direction
• Anticipate scheduling needs across time zones and multiple companies and flag conflicts before they become problems
• Learn the Principal's priorities, working style, and standards well enough to anticipate decisions and act on their behalf within clearly delegated authority
• Proactively hold the Principal accountable to deadlines and commitments, flag risk early, follow up without being asked, and push back when something needs to move
• Act as a genuine thought partner on how the Principal allocates time and attention week to week
• Own discrete projects from beginning to end, including research, drafting, vendor coordination, and follow through, freeing the Principal to focus on client relationships and business development
• Draft initial client communications, board materials, and follow ups for the Principal's review and signature
• Track priorities, action items, deadlines, and follow ups across every active client engagement and internal company initiative
• Support light operational work for the company, including maintaining internal systems and SOPs and coordinating with its contractor network
• Coordinate internal and external meetings with Boards, CEOs, investors, executives, clients, and team members
• Prepare the Principal for every meeting with organized agendas, materials, and relevant background information
• Serve as a professional and responsive point of contact for clients and senior stakeholders, able to represent the Principal credibly when they are not in the room
• Support board meetings, leadership offsites, client meetings, conferences, and other events
• Manage professional and personal travel arrangements, itineraries, and logistics
• Manage expense reporting, document management, and related administrative processes
• Maintain airtight organization and separation of information across companies and client engagements
• Coordinate household schedules, appointments, vendors, and service providers as needed
• Identify and implement improvements to communication, organization, and operational systems as the company scales
• Maintain absolute discretion and confidentiality across all business, client, and personal matters
• 5+ years of experience supporting a founder, CFO, or senior executive, ideally in a startup, executive services, or consulting environment
• Demonstrated experience owning a principal's calendar as a strategic function, not just scheduling meetings
• Comfort operating with real autonomy and delegated decision making authority, along with the judgment to know when to escalate
• A track record of driving projects to completion, not just executing tasks
• Confidence communicating with Boards, investors, CEOs, executives, and senior stakeholders
• Excellent written and verbal communication skills
• A high level of professionalism, judgment, and discretion
• Ability to manage competing priorities across multiple companies with limited direction without losing details or follow through
• Willingness to provide both professional and personal or household support as needed
• Proficiency with Google Workspace and the ability to learn new tools quickly
• Willingness and ability to travel as needed
• Previous experience within a SaaS, cybersecurity, or technology company
• Experience supporting multiple executives, clients, or companies simultaneously
• Experience with household management, family office support, or personal assistance
• Familiarity with board, investor, finance, or fundraising activities
• Experience building or improving administrative and operational systems
• Experience managing sensitive information across separate companies or client accounts
• Based in or within commuting distance of San Ramon, California, or the greater San Francisco East Bay area
The anticipated salary range for this full time position is $110,000 to $135,000 annually. The final offer will be based on relevant experience, qualifications, skills, location, and scope of responsibilities.
