JOB TITLE:                           EXECUTIVE ASSISTANT TO THE POLICE CHIEF

DEPARTMENT:                   POLICE DEPARTMENT

EMPLOYMENT TYPE:        FULL-TIME/NON-EXEMPT

The Executive Assistant to the Police Chief provides high-level administrative support to the Police Chief, ensuring the smooth and efficient operation of the Chief's office. This role requires a proactive, detail-oriented, and discreet professional capable of managing a wide range of administrative responsibilities while maintaining confidentiality and professionalism. The Executive Assistant will be a key liaison between the Police Chief and internal/external stakeholders.

RESPONSIBILITIES

  • Manages the Chief's calendar, appointments, and travel arrangements.
  • Interacts with other City employees and the general public on the telephone, e-mail, and in person; takes and relays messages.
  • Opens, reads, sorts mail; prepares and edits correspondence.
  • Maintain organized and confidential files, records, and documents.
  • Prepares letters and documents needed for City Council meetings.
  • Assists in the revision of forms and procedures in the office.
  • Responsible for submitting all monies collected to the Treasures Office.
  • Assists in the planning and execution of special projects and initiatives as directed by the Police Chief.
  • Provide aid and support to Payroll, Statistical reporting, Billing and Filing.
  • Perform such other duties as may be assigned by the Chief of Police.

 

QUALIFICATIONS

  • High school diploma or equivalent, associate degree in business or related field preferred.
  • Three to five years’ experience in a similar or related position.
  • An equivalent combination of education & experience may be considered for qualification.
  • Must be proficient in Microsoft Office including Outlook Exchange, Word & Excel; capability to learn other department-specific software.
  • Incumbent must have thorough knowledge of modern office practice & procedures.
  • Must work confidentially and autonomously in an efficient, productive & professional manner.
  • Must be well organized, detail oriented, and able to multi-task in a diverse, fast paced office environment.
  • Excellent interpersonal skills while interacting with the public and co-workers in an effective, efficient, and courteous manner.

Successful candidates are expected to work in Police Headquarters and will be exposed to a variety of police operations, including prisoner handling processes, loud noises, and frequent disruptions. The position may require evening and weekend work in order to maintain workflow with other City Departments.

 

PHYSICAL REQUIREMENTS (The physical demands listed here are representative of those that must be met by the employee to successfully perform the essential functions of this job.  Reasonable accommodations are considered to ensure individuals with disabilities can perform essential functions.)

 

Operates standard office equipment including computers and keyboards, at efficient speed; and moves throughout the Department’s administrative spaces in Police Headquarters and other municipal offices as needed/required. Lifts/moves objects weighing up to 10 pounds. Administrative spaces are not accessible or ADA compliant.

 

HOURS: Monday – Friday, 35 hours per week. 8:30am – 4:00pm.

 

SALARY: $25.85 per hour

Annual increases up to $35.78 per hour
