General Definition of Work

Performs advanced, confidential administrative and executive support work for the Sheriff. Provides direct assistance to the Sheriff, Chief Deputy, and Major, ensuring efficient daily operations of the Command Staff. The position requires independent judgment, discretion, and the ability to manage complex administrative responsibilities, special projects, and sensitive information.

Examples of Duties

  • Serves as the primary administrative liaison for the Sheriff and Command Staff, acting as the central point of contact for internal and external communications.
  • Provides direct executive support to the Sheriff, including managing calendars, scheduling meetings, coordinating appointments, and handling correspondence and phone communications.
  • Drafts, reviews, and edits reports, letters, emails, and other documents with a high degree of accuracy and professionalism.
  • Maintains strict confidentiality while handling sensitive personnel, operational, and administrative information.
  • Manages and updates the Sheriff's Office website and intranet, ensuring content accuracy, timeliness, and relevance.
  • Advises and supports administrative staff regarding office procedures, policies, and best practices.
  • Participates in the Strategic Planning Committee; assists with development of strategic initiatives and coordination of the annual planning retreat.
  • Assists the Public Information Officer with special projects, public communications, and media-related materials.
  • Maintains personnel records within the Records Management System (RMS), ensuring accuracy and compliance.
  • Serves as liaison to the Awards Committee; coordinates nomination processes and plans and executes the annual awards ceremony.
  • Assists in the creation and production of agency publications, reports, and informational materials.
  • Processes and distributes incoming and outgoing mail.
  • Compiles, prepares, and submits monthly reports to the Stafford Board of Supervisors.

Knowledge, Skills and Abilities

  • Thorough knowledge of administrative practices, office procedures, and executive support functions.
  • Working knowledge of Sheriff's Office operations, policies, and organizational structure.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Ability to interpret and apply complex policies, procedures, and information with attention to detail.
  • Proficiency in maintaining accurate records and preparing detailed reports.
  • Excellent written and verbal communication skills.
  • High level of discretion, professionalism, and judgment in handling confidential matters.
  • Ability to work independently while effectively supporting a high-level executive office.

Education and Experience

Any combination of education and experience equivalent to an Associate's Degree in business or related field, and 4 to 6 years of high-level administrative assistant or office support experience is required. Experience in public safety, local government or large organization is strongly preferred.

Special Requirements

Selected candidate must successfully pass a criminal history and fingerprint check, interview, polygraph exam, background investigation and pre-employment alcohol and drug testing at the Sheriff's Office expense.

Physical Requirements/Work Environment

This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires reaching, standing, sitting, walking, grasping, and repetitive hand motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, operation of motor vehicles or equipment, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
