Executive Assistant
We are seeking a highly skilled and experienced Executive Assistant to provide exceptional support to SVP, Transformation and Enterprise Operations in Technology & Operations. The ideal candidate will possess a unique blend of administrative expertise, technical skills, and personal qualities that enable them to thrive in a fast-paced and dynamic environment. This individual will be responsible for handling a wide range of administrative and executive support tasks, maintaining confidentiality, and upholding the highest level of professionalism.
What Will You Do?
- Provide executive administrative assistance in support of the senior executive maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment
- Manages the SVP's calendar demand with minimal input and direction and coordinates with key partners as required
- Coordinate and maintain senior executive's correspondence, calendar, and reporting, responding and prioritizing as appropriate and with discretion
- Ensures all required information for meetings is assembled in advance, including agendas, pre-reads and other materials
- Proactively manage complex travel arrangements/itinerary; ensuring seamless travel and efficient use of budgeting and resources
- Manage the senior executive's and leadership team's supplier relations, maintain records and business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities
- Predict and proactively meet the needs of the team, including support for onboarding new staff, assisting in managing technology requirements for the team, overseeing vacation policy and scheduling
- Manage inquiries to support the functions needs, take ownership and accountability for administrative duties
What Will You Need To Succeed?
Must Have
- 5+ years of Executive Assistant support experience supporting executives at large corporations
- Proactive approach to keeping calendars and SVP organized
- Excellent verbal and written communication skills; excellent interpersonal skills, diplomacy, tact, positive can-do attitude
- Superior organizational skills specifically around calendar management, scheduling, ability to organize, plan, and schedule activities
- Strong interpersonal relationship skills in working effectively with various levels of staff, including senior management and executives
- Outstanding time management skills combined with a proven ability to pivot/adjust to changing priorities
- Technically savvy; highly proficient in Microsoft Word, Power Point, Excel, Outlook
- Experience with Concur Expense System, Workday
- Ability to thrive in an independent work setting and doesn't hesitate to share innovative ideas and best practices
- Demonstrate initiative, positive and helpful attitude when dealing with others in a professional manner

- Ability to think beyond the task to the overall project objectives and improve processes, where possible
- Adaptability and openness to change
- Knowledge of RBC tools and resources to help manage the administrative requirements of a function
