Position Summary
National LECET is seeking an experienced, highly organized Executive Assistant to provide high-level administrative support to the Executive Director. This position plays an essential role in managing daily operations, coordinating executive priorities, and ensuring the timely and accurate flow of information.
The ideal candidate is a proactive, detail-oriented professional who exercises sound judgment, handles confidential information with discretion, and thrives in a fast-paced executive environment.
Key Responsibilities
Manage the Executive Director’s calendar, meetings, travel arrangements, and daily workflow.
Screen and prioritize emails, mail, phone calls, and other incoming communications.
Draft, edit, and proofread correspondence, reports, presentations, and meeting materials.
Prepare Board meeting minutes and assemble Board meeting notebooks.
Coordinate meetings, conferences, catering, audiovisual needs, and related logistics.
Prepare and process travel expenses, reports, and other documentation.
Maintain accurate digital and physical filing systems.
Update and maintain affiliate information and organizational records.
Review invoices, credit card statements, and expense reports for accuracy.
Assist with budget development, financial documentation, and audit preparation.
Supervise administrative support staff and delegate assignments as needed.
Maintain office schedules and support the coordination of daily office activities.
Perform additional administrative duties that support efficient office operations.
Qualifications
High school diploma or GED required.
Eight to ten years of administrative or executive support experience.
Excellent organizational, communication, and time-management skills.
Demonstrated ability to manage competing priorities while maintaining accuracy and attention to detail.
Ability to handle sensitive and confidential information with professionalism and discretion.
Strong proficiency in Microsoft Office Suite and familiarity with current office software and systems.
Experience supporting senior executives in a fast-paced professional environment preferred.
Physical Requirements and Work Environment
Ability to sit, type, and communicate frequently throughout the workday.
Ability to occasionally lift up to 10 pounds.
Work is generally performed in a standard office environment.
Occasional travel may be required.
