We are looking for a highly capable, trustworthy person who can help increase the capacity of our leadership team. This role will work closely with the owner and other leaders across our two offices to bring organization to competing priorities, take ownership of important work, anticipate needs, and help solve problems before they become distractions. At its best, this role helps the organization use its people and time well. As trust and experience grow, the Executive Assistant will take increasing ownership of responsibilities that can be delegated, helping our leaders remain focused on the work where they can contribute the most value.
This role is a great fit for you if you:
Have high capacity. You can absorb information quickly, manage many moving pieces, distinguish what matters from what does not, and remain dependable when the pace is high.
Earn trust. You understand that access to an owner, leadership team, business information, and occasional personal matters requires exceptional discretion, sound judgment, and confidentiality.
Anticipate what comes next. You naturally think ahead, notice what is missing, prepare before being asked, and recognize emerging problems early.
Create order. You can bring structure to calendars, communication, meetings, follow-up, information, and competing priorities without needing everything around you to already be organized.
Own the follow-through. You do not simply identify tasks or problems for someone else. You stay with the work, close loops, and make sure commitments are completed.
Look for solutions. When something goes wrong, your instinct is to understand the problem, gather what is needed, and create a clear way forward.
Communicate with confidence and discretion. You can interact professionally with employees, customers, candidates, vendors, and leadership, and you are comfortable protecting priorities and setting appropriate boundaries.
Want to earn greater responsibility. You are motivated by a role that can grow from managing important work, to anticipating needs, to owning decisions and solutions as trust is earned.
What You Will Do
Learn the rhythms, priorities, people, and systems of the organization well enough to anticipate needs, identify emerging problems, gather relevant information, and help develop practical solutions.
Grow into increasing responsibility and independent decision-making as knowledge, judgment, and trust develop.
Manage the owner’s calendar and, as trust is earned, increasingly evaluate, prioritize, and schedule meetings on his behalf.
Help manage email, follow-up, communication, and information flow so important items receive the right attention.
Coordinate meetings, preparation, notes, follow-up, and accountability for the owner and leadership team across both office locations.
Support recruiting through scheduling, candidate communication, coordination, and follow-through.
Support team communication and help leadership keep priorities, commitments, and important information moving.
Coordinate payroll administration, bookkeeping support, data collection, recurring reporting, and vendor needs.
Assist with customer appointment setting, selected customer follow-up, errands, and other responsibilities that allow the owner to remain focused on the highest and best use of his time.
Benefits & Compensation (Full-Time Eligible)
Stable Base Pay: $50,232-$72,384 reliable base salary.
Retirement: 401(k) plan with a company match.
Health Benefits: Group medical, dental, and vision insurance.
Income Protection: Group life insurance, short-term disability, and long-term disability.
Time Off: Generous paid time off package.
A Final Thought:
We are intentional about the people we invite onto our team. We are not looking for someone simply to keep a calendar organized or complete a list of administrative tasks, nor do we require someone who has already held the title of Executive Assistant. We are looking for someone who takes satisfaction in helping people and organizations operate at their best. Someone trustworthy enough to handle sensitive information, organized enough to bring clarity to competing priorities, thoughtful enough to anticipate what may be needed next, and resourceful enough to help find a way forward when problems arise. This role will begin with defined responsibilities, but our expectation is that it grows with the person. As knowledge and trust develop, so will the opportunity to take greater ownership, exercise judgment, and meaningfully increase the capacity of our leadership team.
