The Amazon Worldwide (WW) Operations Finance team is looking for a customer-obsessed, resourceful, and self-motivated Executive Assistant to support two Finance Directors in a fast-paced environment. This role requires in-office presence five days a week at our Bellevue, WA location.

The role combines executive assistant responsibilities with program coordination ownership. You will operate as the Directors" primary leverage point for administrative, scheduling, and cross-team coordination work - reducing their involvement to handling escalations and reviewing output on projects that span the team.

You will bring a strong sense of urgency and the judgment to execute assignments autonomously. Success in this role requires:

  • Meticulous attention to detail and superior organizational and tracking skills
  • Exceptional writing and editing proficiency
  • Proven experience in event planning and building mechanisms that create efficiency
  • Composure under pressure and agility to shift priorities at a moment"s notice
  • A high degree of integrity and discretion in managing confidential information
  • Consistent professionalism with internal and external stakeholders

This role requires five (5) days a week in office.

Key job responsibilities

Responsibilities (including but not limited to):

  • Own complex calendar management and scheduling of internal and external meetings, maintaining a forward-looking calendar 3-6 months out
  • Manage domestic and international travel and expenses
  • Manage key team activities and logistics: staff meeting agendas, all-hands, supply ordering, and team space (moves and reconfiguration)
  • Organize, prioritize, and safeguard time-sensitive, confidential information; ensure action items are executed
  • Partner with the leadership team and other Executive Assistants to support the broader organization
  • Support cyclical operational planning, business planning, and performance review cycles
  • Own coordination mechanisms for cross-team projects and recurring processes (e.g., WBR Refresh, Goal Updates) - set up the process, autonomously manage milestones and dates, consolidate status updates, and report who"s on track, who"s behind, and what"s blocked
  • Proactively surface risks, propose solutions, and nudge leaders and teams toward milestones before being asked - flagging when something is about to fall through the cracks
  • Go beyond scheduling on new programs (e.g., AI Adoption): shape format and approach with program leads, and own a recurring cadence to review team hiring progress with hiring managers
