We are recruiting on behalf of our long-time client, a globally recognized manufacturer trusted by the military, aerospace, and motorsport industries worldwide. They are looking for a highly organized and proactive Executive Business Assistant to serve as the CEO's trusted representative across their US operations.
This is not a traditional EA role — you'll be the CEO's eyes and ears on the ground in Ramsey, ensuring business priorities are being executed, issues are surfaced quickly, and the Senior Leadership Team stays aligned and accountable.
While day-to-day calendar and inbox management is handled by a UK-based EA, your focus will be on operational coordination, stakeholder engagement, and driving follow-through across the business.
What You'll Do
Act as the CEO's on-the-ground representative, identifying issues and ensuring timely escalation and resolution
Chair and lead the monthly Management Meeting, tracking actions and holding teams accountable
Manage and support key projects on behalf of the CEO, monitoring progress and deadlines
Liaise between the CEO and staff, clients, and stakeholders at all levels
Ensure the CEO is fully prepared for meetings with clear agendas and follow-up actions
Coordinate travel for the CEO and US-based employees, including expense tracking
Support the development of presentations for internal and external audiences
Coordinate departmental reporting in line with ISO requirements
Collaborate with the UK-based EA to provide seamless executive support, including calendar and email cover when needed
Handle sensitive information with the utmost discretion and professionalism
What We're Looking For
3–5 years of experience supporting a senior executive or leadership team
Background in a manufacturing environment strongly preferred
Experience working within an ISO or AS-accredited Business or Quality Management System
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Exceptional organizational and time-management skills — you can juggle competing priorities without dropping the ball
Strong communicator, both written and verbal, with sharp attention to detail
Confident in building relationships across all levels of an organization
Adaptable, discreet, and comfortable working in a fast-moving environment
Knowledge of FactoryMaster and/or SmarTeam/SharePoint is a plus (training provided)
