The Executive Content Administrator serves as a trusted strategic partner to an executive and is responsible for capturing, organizing, researching, refining, and extending the intellectual output of the executive. This position operates at the intersection of research, writing, content strategy, executive support, knowledge management, and communications.
This position ensures that valuable ideas are captured, developed, organized, and transformed into intellectual assets that support books, educational programs, presentations, digital media, and thought leadership initiatives.
This position is an extension of the executive's creative process, helping transform conversations, meetings, research, and observations into organized, polished, and actionable content.

Thought Leadership Development
- Capture ideas from meetings, conversations, events, presentations, interviews, podcasts, handwritten notes, voice memos, and spontaneous discussions
- Transform raw ideas into polished written content while preserving the executive's voice
- Develop executive summaries, one-page briefs, outlines, research memoranda, presentations, manuscripts, and supporting materials
- Synthesize large amounts of information into concise, actionable documents
Research & Analysis
- Conduct deep research across business, economics, leadership, psychology, real estate, technology, and other relevant disciplines
- Locate authoritative source material and supporting evidence
- Verify facts, statistics, quotations, and references
- Summarize books, articles, research papers, and other materials
- Monitor emerging trends and identify insights relevant to ongoing projects
Content Development
- Assist in developing content for books, educational programs, presentations, newsletters, articles, podcasts, videos, and digital platforms
- Review long-form content for use as compelling posts for Facebook, Instagram, YouTube, LinkedIn, and other platforms
- Edit and enhance written communication while maintaining authenticity and consistency
Knowledge Management
- Build and maintain an organized repository of research, notes, presentations, manuscripts, and reference materials
- Develop both digital and physical filing systems that ensure ideas remain searchable and accessible
- Organize content into binders, databases, and structured archives
Executive Partnership
- Draft correspondence and external communications
- Coordinate outreach related to research and content development
- Anticipate research and information needs before they arise
- Support multiple concurrent projects while maintaining exceptional accuracy and discretion
Success Measures
Success in this role will be measured by the ability to consistently capture ideas, improve their clarity and accuracy, organize knowledge into scalable systems, and help transform intellectual capital into books, educational content, presentations, and digital media that extend the executive's influence and impact.
Minimum Requirements
- Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
- Minimum of three (3) years of experience providing executive communications support, including content research, analysis, and development of executive communications
- Excellent writing and editing skills, with the proven talent and ability to authentically convey the voice, vision, perspective, and communication style of executives through clear, compelling, and authentic written communications
- Comfortable working closely with executives and leadership teams
- Demonstrated ability to think creatively and develop outside-the-box solutions in a fast-paced, constantly evolving environment
- Strong video editing and content production skills
- Strong analytical skills, with strong attention to detail and accuracy
- Strong critical thinking and sound judgment skills
- Ability to synthesize complex information into concise, meaningful insights
- Strong verbal, written, interpersonal, and listening communication skills
- Outstanding research and analytical abilities
- Excellent project management, time management, and organizational skills
- Ability to manage confidential information with complete discretion
- Ability and willingness to travel and work in fast-moving environments
- Familiarity with tools such as CapCut, Canva, Descript, Opus, Riverside, Adobe Suite, or similar platforms
- Proficiency in Microsoft Office, Google Workspace, AI tools, and digital content platforms
- Polished and professional demeanor
Preferred Requirements
- Experience providing executive support for a company founder, Chief Executive Officer, entrepreneur, or public figure
- Experience in professional writing, journalism, publishing, or editing
- Experience in research or consulting

- Real estate knowledge and/or experience
