Job Summary
The Executive Contracts Administrator provides high-level administrative, financial, and operational support to senior leadership in a fast-paced, deadline-driven environment. This role is responsible for coordinating contract administration activities, supporting procurement and budgeting processes, managing pricing and financial documentation, and ensuring efficient day-to-day operations. The ideal candidate hasstrong organizational skills, attention to detail, and experience supporting contracts, pricing, procurement, or financial operations while managing multiple priorities and executive-level initiatives.
Job Responsibilities
- Provide executive-level administrative support including calendar management, meeting coordination, and follow-up activities
- Coordinate contract administration activities including tracking, documentation management, and status reporting
- Support procurement-related processes, pricing coordination, and financial tracking activities
- Assist with budget planning, tracking, forecasting, and budget modifications in coordination with leadership
- Prepare reports, spreadsheets, presentations, and executive summaries for leadership review
- Process invoices, payments, and funding-related documentation
- Maintain organized records of contracts, procurement documentation, budgets, financial records, and project files
- Coordinate meetings, document meeting notes, and track action items to completion
- Serve as a liaison between internal departments, consultants, vendors, and stakeholders
- Assist with data analysis, reporting, and financial reconciliation activities
- Utilize Microsoft Excel to manage data, analyze information, and support reporting needs including formulas and pivot tables
- Manage multiple priorities and deadlines in a high-volume environment
- Handle confidential and sensitive information with professionalism and discretion
Job Requirements
- Strong proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis functions
- Strong organizational, multitasking, and time management skills
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy in financial and administrative tasks
- Ability to work effectively in a fast-paced, deadline-driven environment
- Ability to prioritize competing responsibilities and manage multiple assignments simultaneously
- Ability to maintain confidentiality and handle sensitive information appropriately
- Willingness to work overtime as needed
- Knowledge of contracts administration, procurement processes, pricing coordination, or financial operations preferred
Education
- Master's degree with a minimum of 1 year of relevant administrative, financial, procurement, or operational support experience required
OR - Bachelor's degree with a minimum of 3 years of relevant experience in administrative support, contracts administration, finance, procurement, or related fields required
Work Experience
- Experience supporting senior leadership or executive-level staff preferred
- Experience with contracts coordination, procurement support, pricing administration, budgeting, or financial operations strongly preferred
- Experience working in high-volume administrative or operational environments preferred
