Introduction:

We are seeking a highly organized and efficient Executive Coordinator to join our team. The Executive Coordinator will Serve as a member of the administrative staff to the Office of the President of the Commission of the Council on Occupational Education to perform duties as designated by the President/CEO

EXAMPLES OF WORK The following examples are illustrative of the duties assigned to this position. No attempt is made to be exhaustive in this listing.


  • Serving as a confidential assistant to the President/CEO, performing with a high level of efficiency and effectiveness complex administrative duties.
  • Assist the Chief of Staff in coordinating all Commission meetings/activities included, but not limited to:
  • Administrative task of all official meetings of the Commission, Executive Committee, and other meetings assigned.
  • Collect materials necessary for Commission review and action (i.e., Agenda A).
  • Schedule member meetings/visits, coordinate calendar appointments, make travel arrangements and complete travel reimbursements.
  • Gather and compose information for the supervisor on special assignments or for regular reports, budgets, presentations or speeches.
  • Provide administrative support to other Executive Departments, as necessary.
  • Assist the Chief of Staff with all administrative tasks for the Council at the Federal and State level.
  • Assist Director of Communications & Events with facilitating activities at the Annual Meeting & Spring Accreditation Institute. (e.g., lead and coordinating on-site registration/check in).
  • Composing correspondence, as necessary.
  • Analyzing special problems, formulating solutions, and implementing the results; and,
  • Performing other duties as required in support of operations activities of the Office of the President.
  •  Travel required to all major COE events and Commission meetings.

QUALIFICATIONS OF THE APPLICANT KNOWLEDGE, SKILL, AND ABILITIES

Knowledge of modern office practices and procedures; of correct English usage, spelling, punctuation, and grammar; Skills to type at the rate of at least 50 words per minute. Ability to meet and deal with high-level officials and visitors in an effective and gracious manner, to compose correspondence and answer inquiries from various sources independently, to analyze problems and make appropriate recommendations on office operations, to perform specialized clerical functions, and to follow and transmit oral and written instructions.


MINIMUM EDUCATION AND EXPERIENCE

Education should be an bachelor’s degree from an accredited institution of higher education or equivalent experience with a major portion of the courses of study being in a field relevant to the functions of the position. Experience should be at least three years of office experience.
