The Executive Meetings Manager drives group and meeting business for The Daytona Grande, from prospecting and securing new corporate, association, SMERF, and social-event accounts through flawless on-site execution. This role serves as the client's primary hotel contact for the life of each account, guiding groups from initial inquiry and contract through final billing, and partnering closely with Sales, Banquets, Food & Beverage, Front Office, and Operations to ensure every meeting reflects the quality and hospitality The Daytona Grande and Preferred Hotels & Resorts are known for.
• Generate and develop group and meeting business by prospecting new small corporate, association, SMERF, and social-event accounts
• Build and nurture strong relationships with meeting planners, corporate clients, and third-party planners
• Sell meeting space, guestrooms, catering, and related hotel services, helping achieve group-room, meeting-space, and food & beverage revenue goals
• Manage assigned groups from initial inquiry and contract through completion, serving as the client's primary hotel contact
• Coordinate with Sales, Banquets, Food & Beverage, Front Office, and Operations to execute every event seamlessly
• Prepare event details, timelines, meeting specifications, Banquet Event Orders (BEOs), and group resumes
• Conduct site visits and pre-conference meetings with meeting planners and clients
• Coordinate room blocks, billing arrangements, VIPs, amenities, function space allocation, and outside vendors
• Handle changes and client requests that arise during events to ensure a seamless guest experience
• Conduct post-event reviews and follow up with clients to encourage repeat and referral business
• Review invoices and bills for accuracy, identifying and applying cancellation or attrition charges as applicable
• Participate in daily, weekly, and monthly sales meetings
• Maintain accurate client and account records within the resort's sales and catering system
• Stay current on industry trends, competitive offerings, and Preferred Hotels & Resorts brand standards
• 3–5 years of experience in hotel or resort sales, catering, or meetings/event management; luxury or upper-upscale property experience preferred
• Proven track record of proactively prospecting new accounts and meeting or exceeding sales and revenue goals
• Bachelor's degree in Hospitality Management, Business, or a related field preferred, or equivalent professional experience
• Working knowledge of sales and catering systems (e.g., Delphi.fdc, Opera Sales & Events, or similar)
• Certified Meeting Professional (CMP) designation a plus
• Exceptional organizational skills with the ability to manage multiple accounts and events simultaneously
• Excellent written and verbal communication, negotiation, and consultative selling skills
• Strong client relations and problem-solving skills, with composure under pressure
• Flexibility to work evenings, weekends, and holidays as required by the event calendar
• Proficiency in Microsoft Office Suite
