The mission of this full-time position is to serve as the dedicated operational and marketing partner, supporting a senior Financial Advisor, clients, and nonprofit parters. This role manages all aspects of event planning, client communications, and marketing content from inception through completion, ensuring every deliverable meets the highest standards of professionalism and regulatory compliance. Through proactive engagement with clients, nonprofit partners, and vendors, this position strengthens key relationships, drives community impact, and ensures all public-facing content and marketing materials are properly approved and effectively distributed.
Primary Responsibilities
Client Servicing
- Manage annual client review process (ACRs) which includes communicating with clients to set review appointments, preparing clients for the review, preparing reports and agendas prior to the review, and transcribing notes and final reports post-review to submit to Cetera.
- Manage life insurance book of business, including customer service requests, account servicing, policy transfer, and account opening and closing.
- Manage annuity book of business, including customer service requests, account servicing, account opening and closing, money and account transfers, and any systematic transactions.
- Collaborate with team to process 529 transactions as we get calls from clients.
- Oversee check processing through Pinpoint and communicate with Office Secretary on status.
- Prepare YCharts for advisor research.
Advisor/ Team Partnership
- Collaborate with team to ensure client and team objectives are accomplished.
- Ensure office supplies are in stock using the company card.
- Support resolution of any technological or system issues in partnership with internal IT Team.
- Submit global travel requests prior to travel.
Marketing Material/ Event Creation and Compliance Approval
- Plan and execute all events from start to finish, including securing and managing venue relationships and payments, catering, setup and cleanup, invitation process, check-in, nametags, table assignments, attendee follow-up, attendance list submission to compliance, and event debriefs.
- Create, proof, and manage compliance approval for all marketing materials, invitations, PowerPoint presentations, and event-related content; maintain oversight of all compliance review requirements across marketing channels.
- Manage and update client lists in Marketing Central and oversee the weekly client nurture process, including securing and scheduling content distribution and responding to nurture email replies.
- Prepare, obtain approval for, and schedule twice-weekly LinkedIn and Facebook posts; maintain and update the website including all posted materials and compliance-related changes.
- Manage client appreciation touchpoints including purchasing and sending thank you notes, sympathy cards, sympathy gifts, and holiday gifts, as well as handwriting monthly birthday cards for all clients.
- Assist in monthly preparation for Advisor Training events.
- Log all compliance requirements into Pinpoint including client correspondence, gifts log, ACRs, and Ad Review.
Charitable Giving Kansas City
- Create and manage the full marketing and invitation process for all nonprofit partners, including obtaining compliance approval for all materials, maintaining weekly communication with nonprofits to ensure processes are followed, and managing and updating nonprofit lists in Marketing Central.
- Plan and execute all donor events and lunch and learn events from start to finish, including securing venues, catering, setup and shutdown, invitation process, check-in, nametags, table assignments, and registration.
- Maintain consistent contact with nonprofits throughout the event invitation process to ensure event success.
- Manage all post-event processes including distributing Start Today cards and sign-in sheets, preparing debrief agendas and notes, compiling reports for nonprofits, and sharing information with all relevant parties.
- Prepare and obtain compliance approval for all PowerPoint presentations and notes prior to events.
- Manage the nonprofit nurture process including securing and scheduling content for distribution, obtaining compliance approval, and responding to nurture email replies.
- Maintain and update the website including all posted materials and any compliance-related changes.
KAMO Adventures
- Schedule and prepare agendas for all board meetings and record minutes.
- Manage all organizational finances including bookkeeping, bill payment, and expense reimbursement.
- Plan and execute all fundraising events from start to finish, including securing venues, catering, setup and shutdown, invitation process, guest list management, check-in, nametags, table assignments, attendee follow-up, and debrief meetings, including the Clay Shoot.
- Prepare all marketing materials, invitations, and PowerPoint presentations for events; manage and update Constant Contact lists and coordinate all content distribution including the quarterly newsletter.
- Secure veterans for all hunting and fishing trips, process attendee waivers, and obtain all required hunting licenses for events.
- Manage veteran data sheet processing and monitor and respond to all organizational inquiries.
- Maintain and update the website including all posted materials, post-event photos, and any site changes.

Education, Training & Experience
- Bachelor’s degree required
- 3-6 years of experience working in a professional office environment
- Experience as an executive assistant, business development coordinator, marketing and communications specialist, community partnership coordinator, or other related experience.
