Provides high-level administrative support and assistance to the Senior Executive(s) in the President's Office, which involves significant public contact and/or responsible supervisory work. Provides direct assistant to the Senior Staff and Executive(s) and requires the ability to handle sensitive, confidential and controversial matters on a continuing basis.

DUTIES:

  • Provides comprehensive executive administrative support to Senior Staff and Executive(s) managing competing priorities, schedules, deadlines, communications, meetings, travel, and follow-up activities.
  • Exercises independent judgment and discretion in managing daily operations, interpreting organizational priorities, resolving issues, coordinating assignments, and determining when matters require executive attention. Coordinates calendars, meetings, travel, conferences, events, and other organizational activities, ensuring logistics and communications are effectively managed.
  • Serves as a key point of contact for internal and external stakeholders, including officers, staff, members, community partners, civic organizations, and national and international visitors.
  • Prepares, edits, and coordinates correspondence, reports, presentations, briefing materials, and other executive documents, ensuring accuracy, clarity, and adherence to organizational standards.
  • Provides support with meeting coordination, communications, information management, including tracking of commitments and follow-up activities.
  • Coordinates administrative and logistical support for daily meetings, board meetings, conferences, and other organization-sponsored events.
  • Leads and supports special projects and initiatives by coordinating resources, timelines, milestones, communications, deliverables and identifies issues and recommends solutions.
  • Maintains organized and confidential records, databases, contact information, and executive files; compiles and analyzes information to support reports, presentations, and organizational decision-making.
  • Supports budget administration and financial tracking, including monitoring expenditures, maintaining contract and reimbursement records, and preparing related reports.
  • Identifies opportunities to improve administrative processes and utilizes technology and digital tools to enhance efficiency, communication, information management, and executive operations.
  • Provides additional support within the President's Office as organizational priorities and operational needs require.

REQUIREMENTS:

Education & Experience

Graduation from high school and a minimum of five (5) years office management experience; or any equivalent combination of education and experience which provides the following knowledge, skills and abilities:

  • Ability to establish and maintain effective working relationships with superiors, other employees, officials, union representatives and the general public.
  • Ability to interpret and make sound, independent decisions in accordance with policies and procedures.
  • Ability to maintain complex clerical records and prepare accurate reports from such records.
  • Ability to understand and quickly and accurately follow written and oral instructions.
  • Ability to quickly adapt to changing situations and accomplish the desired results.
  • Advanced knowledge of office equipment.
  • Ability to compose correspondence using correct grammar, syntax and business formats.
  • Excellent communications and diplomacy skills are required, with particular emphasis on telephone skills.

Travel and work hours:

  • Travel and extended work hours, including evenings and weekends, are required.
  • Valid driver's license is required.
