Job Summary

The Administrative Support III (Executive Officer Manager) serves as a highly responsible and confidential administrative professional providing executive-level support to the Vice President for Student Affairs and Enrollment Management, Associate/Assistant Vice Presidents, and the Dean of Students. This position plays a critical role in advancing the strategic priorities of the Division by ensuring efficient coordination of executive operations, communications, fiscal processes, and office administration.

This role requires exceptional organizational acumen, sound judgment, discretion, and the ability to manage multiple priorities in a dynamic higher education environment. The incumbent functions as a central point of coordination for divisional leadership, facilitating communication, managing schedules, supporting fiscal operations, and supervising student staff.

Responsibilities

Executive Administrative Support
  • Provide comprehensive administrative support to the Vice President, AVPs, and Dean of Students, including managing complex calendars, scheduling appointments, coordinating meetings, and resolving scheduling conflicts.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring timely and professional communication and follow-up.
  • Prepare, draft, and edit correspondence, reports, briefing documents, presentations, and other executive-level materials with a high degree of accuracy and professionalism.
  • Maintain strict confidentiality in handling sensitive information related to personnel, students, and institutional matters.
Office Operations and Coordination
  • Develop and maintain organized filing systems, both electronic and physical, ensuring compliance with institutional policies and records management standards.
  • Coordinate logistics for meetings, retreats, and divisional events, including agenda preparation, meeting materials, space reservations, and technological setup.
  • Answer and direct incoming calls and inquiries across the division, exercising sound judgment in routing and responding to requests.
Budget and Fiscal Support
  • Assist with budget preparation, monitoring, and analysis for divisional operations, ensuring alignment with institutional goals and fiscal policies.
  • Process purchase orders, invoices, expense reports, and reimbursements in accordance with university and state guidelines.
  • Serve as the Division¿s Purchase Card (P-Card) holder, ensuring compliance, documentation, reconciliation, and timely reporting.
  • Track expenditures and assist leadership in maintaining fiscal accountability.
Inventory and Resource Management
  • Manage office supply inventory and equipment, including procurement, tracking usage, and maintaining adequate supply levels.
  • Coordinate repair, maintenance, and replacement of office equipment as needed.
  • Supervision and Leadership
  • Supervise and mentor student employees, including hiring support, training, scheduling, and performance oversight.
  • Foster a professional and inclusive work environment that supports student development and engagement.
Communication and Organizational Effectiveness
  • Support divisional communication efforts by assisting with the development of presentations, reports, and strategic communications.
  • Contribute to workflow efficiencies and continuous process improvement initiatives within the division.
  • Assist in special projects, initiatives, and institutional events as assigned by divisional leadership.
Required Qualifications
  • Bachelor's degree from an accredited institution.
  • Demonstrated experience supporting executive-level leadership, preferably in a higher education or professional office environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office technologies.
Preferred Qualifications
  • Experience in higher education, administration, or student affairs environments.
  • Experience with budget tracking, financial processing systems, and procurement procedures.
  • Prior experience supervising or mentoring student workers or entry-level staff.
